About The Team

Our administration team is often the first point of contact for patients and visitors and plays an important role in representing our health service. You'll be part of a team that takes pride in providing friendly, efficient and professional service. As one of the first points of contact for patients, visitors and health professionals, you will play an important role in creating a positive experience and supporting the smooth delivery of healthcare services.

About The Role

This is a varied administrative role where you will provide front-facing customer service while supporting the effective coordination of surgical services.

Your Responsibilities Will Include

  • Assisting with the management of surgical waiting lists and scheduling elective surgery in accordance with NSW Health and HNELHD guidelines.
  • Communicating with Treating Specialists, healthcare providers and patients to support effective waitlist management and admissions.
  • Planning and prioritising surgical waiting lists up to three months in advance.
  • Identifying opportunities to support timely access to care and achieve patient and organisational objectives.
  • Maintaining accurate medical records, including paper and electronic records.
  • Booking appointments and scheduling rooms.
  • Maintaining invoices and supporting fleet management processes.
  • Preparing reports and correspondence as required.
  • Printing and distributing internal and external correspondence.
  • Using systems including FORT and IPM to support effective waitlist management and reporting.
  • Establishing and maintaining positive working relationships with staff at all levels.
  • Undertaking a range of administrative and operational tasks, using initiative and working within established procedures and guidelines.

Experience working in a healthcare environment would be highly regarded, however, training will be provided for specific systems and programs.

Essential Criteria

  • Relevant administrative qualifications and/or equivalent experience.

Support and Training

You won't be expected to know everything from day one. You will be supported by experienced Clinical Nurse Educators (CNEs), with initial orientation days and specific training provided to help you become confident in the role.

On-the-job training will also be provided for relevant systems and programs, giving you the opportunity to build your skills and knowledge within a supportive environment.

This is more than an administration role. Your work will help ensure patients are appropriately scheduled, information is accurately managed and surgical services operate efficiently.

What You'll Be Doing

The purpose of this position is to facilitate the efficient management of surgical waitlists and patient admissions by handling enquiries, bookings, planned admissions, and cancellations within the Waiting List Unit and Admissions Team. The role supports the Waitlist Coordinator by ensuring adherence to the NSW Health and HNELHD guidelines, accurate data reporting, and routine audits. Through effective communication with patients, surgeons and other stakeholders, the role drives timely and seamless elective surgery scheduling.
