About the Role
Escrow & Closing Coordination
• Manage active transactions from contract execution through close of escrow.
• Coordinate with escrow officers, title companies, lenders, buyer agents, and internal teams.
• Track escrow opening, deposits, loan milestones, appraisal, contingencies, document deadlines, signing, funding, and recording.
• Monitor closing timelines and proactively identify potential delays.
• Maintain transaction status trackers, closing checklists, and internal reports.
Buyer, Agent & Internal Communication
• Serve as the primary process point of contact for under-contract buyers and buyer agents regarding escrow, closing timeline,
documents, and next steps.
• Coordinate buyer questions internally and ensure responses are accurate and approved when needed.
• Provide regular closing status updates to Sales, Management, Accounting, and Construction as needed.
• Escalate buyer concerns, delay issues, credit requests, legal questions, or contract-related disputes to the appropriate internal
owner.
Document & Transaction Management
• Ensure contract files are complete, accurate, and properly organized.
• Coordinate signatures for amendments, addenda, disclosures, contingency removals, and closing-related documents.
• Review closing-related information for consistency with the purchase agreement, including price, credits, incentives, deposits,
and closing date.
• Support compliance with company procedures and transaction documentation requirements.
Final Walkthrough & Closing Handoff
• Coordinate with Construction and Sales on final walkthrough timing and home delivery readiness.
• Track final walkthrough status and ensure proper internal follow-up on closing-related items.
• Coordinate closing handoff items, including keys, access, buyer information, HOA closing details, and internal close notifications.
• Support the transition from closing to warranty, customer care, or post-close support where applicable.
What We’re Looking For
• 3+ years of experience in real estate transaction coordination, escrow coordination, title, lending, homebuilder closing, or related
real estate operations.
• Strong understanding of purchase agreements, escrow process, title, lender milestones, contingencies, closing statements, and
transaction deadlines.
• Experience with national or regional homebuilders, new construction sales, or builder-side escrow / closing operations is strongly
preferred.
• Excellent communication, organization, and follow-up skills.
• Strong attention to detail and ability to manage multiple active transactions at the same time.
• Ability to coordinate across sales, escrow, lender, title, construction, accounting, and management teams.
• Comfortable using transaction management tools, spreadsheets, shared drives, CRM systems, DocuSign, and email-based
tracking.
• Professional judgment to identify issues early and escalate appropriately.

The expected salary range for this position is $70,000to $90,000 per year. The actual salary offer will be determined based on the successful candidate's geographic location, relevant experience, and specific skill sets, in accordance with California laws. Visa sponsorship is available for qualified candidates.
