Executive Specialist - Division of Board Members - R025799 Primary Location : DC-Washington Employee Status : Limited Term Overtime Status : Exempt Job Type : Temporary Work Relocation Provided : Yes Compensation Grade Low : FR PAY GRADE 23 Compensation Grade High : FR PAY GRADE 24 Minimum Salary : $82,000.00 Maximum Salary : $122,500.00 Posting Date : Aug 25, 2026 Position Description Minimum Education Bachelor's degree or equivalent experience Minimum Experience 1 Summary Provides high-profile and high-visibility executive support services to the Vice Chair for Supervision. Ensures strategic priorities are reflected in management of the Vice Chair’s time, travel, and communications and outreach. Provides backup support as needed to other staff serving Board Members. Duties and Responsibilities 1. With limited guidance, may execute calendar-related support for Vice Chair, Governors, Officers, or other assigned staff. This may include maintaining calendars through arranging appointments, official meals, staff meetings, and conferences based on knowledge of the Vice Chair’s (or other staff’s) schedule and priorities (e.g., accepting or declining invitations, appointments, conferences, and official functions). Assists with managing competing priorities for the Vice Chair’s time. Briefs Vice Chair on meeting specifics and supplies any necessary background materials. 2. Assists with advance preparation for meetings (e.g., managing flow of materials and arranging for staffing), including international meetings (e.g., IMF, G7, G20), with high-level officials from other agencies (e.g., FDIC, SEC, Treasury), the White House, Congress, or foreign dignitaries. This may include providing logistical and administrative support for in-person and virtual events and meetings (e.g., meeting space, registration, technology, audio-visual, logistics, catering, facilities, photo opportunities, pre-testing with venues and IT staff, parking clearances, transportation). Meetings may need to be scheduled or rescheduled on short notice. May coordinate with audio visual staff to ensure meeting collaboration tools are set up in advance (e.g., conference call and video conferencing technology such as Microsoft Teams and WebEx). Reviews speaking invitations with Public Affairs, Advisers, and the Legal Division as required. 3. Assists with foreign and domestic travel arrangements (e.g., selecting flights, reserving hotels, preparing itineraries, arranging for passports, visas, inoculations, motor transportation, and foreign currency exchange), including planning and logistics in accordance with Board rules. Assists in coordinating schedules and logistics with Reserve Bank staff and Presidents' offices, Division Directors, and other relevant local stakeholders as needed. Assist in preparing travel reimbursement documentation and travel notebooks. 4. Assists a variety of projects that are highly sensitive and confidential in nature that require knowledge of the Vice Chair’s or other staff’s priorities, preferences, and schedule. May assist in obtaining and preparing information or background material on a variety of issues. 5. Handles incoming telephone calls and official visitors, coordinating with Reception and Law Enforcement Unit as needed, and may determine the nature of the call or visit and responding personally or referring the individual to the appropriate person or office. May assist with answering callers’ questions based on knowledge of the Vice Chair’s or other staff’s priorities, schedules, and views. Identifies and determines priorities regarding calls, visits, and issues involving high-profile officials and important policy matters. 6. With limited guidance, assists with the flow of requests and deliverables. This may include working with the Vice Chair and assigned staff to reflect priorities. May assist with responses to FOIA Requests from the media and Congress by gathering necessary information and documentation and coordinating with the Congressional Liaison’s Office, Public Affairs, and Public Information Outreach. 7. With regular guidance, may assist with providing full and accurate information, to the Vice Chair or other staff, regarding Board procedures. Assists with onboarding new Advisers and provides information, materials, and access (e.g., informational documents, shared drives, calendar access, office space, meetings, Vice Chair’s preferences) as needed. Coordinates workflow with Advisers. 8. Assists with the preparation, proofreading, and incorporation of edits into correspondence and/or various documents. This may include proofreading letters for the Vice Chair’s and/or the Chair’s signature and sending emails on behalf of the Vice Chair. Assists with addressing and filing the Chair’s incoming correspondence (i.e., congressional letters, inmate correspondence, international complaints, request for sensitive information, pen pal letters, thank you letters, letters from stakeholders, complaint letters, and letters to address significant events). Assists with logging and distributing memos and requests to the appropriate staff. May also coordinate signatures across divisions for interagency letters. 9. Contributes to the documentation of office administrative or Board procedures and may contribute to the updating and developing of standard operating procedures for administrative processes, including processes for managing requests from division and Board staff. May contribute to updating the anticipated attendance database system in the absence of Executive Assistants and assisting Board Member executive assistants to ensure weekly reports have the most up-to-date and accurate information. Updates Office of the Secretary weekly attendance report. Position Requirements FR 23 - The incumbent must possess strong administrative, verbal, and written communication skills, generally acquired through the completion of a bachelor’s degree or equivalent and 1 year of administrative experience. Required Skills/Knowledge Must possess demonstrated organizational skills and be detail- and project-oriented. Requires moderate knowledge of the organizational structure and responsibilities of the Board and its advisory councils and some familiarity with the organization of the Federal Reserve System. Must possess strong executive support skills and be able to interact effectively with the Vice Chair and a wide range of stakeholders across the Board and in external organizations. Requires business technology skills (e.g., word processing, email/scheduler applications, and spreadsheet skills) and must be able to learn and remain current on all relevant information technology used by the section and the Board. FR 24 –The incumbent must possess strong administrative, verbal, and written communication skills, generally acquired through the completion of a bachelor’s degree or 3 years of administrative experience. Required Skills/Knowledge Must possess demonstrated organizational skills and be detail- and project-oriented. Requires established knowledge of the organizational structure and responsibilities of the various Board divisions and some familiarity with the organization of the Federal Reserve System. Must possess strong executive support skills and be able to interact effectively with the Vice Chair and a wide range of stakeholders across the Board and in external organizations. Must pass the Board’s typing and editing tests. Requires business technology skills (e.g., word processing, email/scheduler applications, and spreadsheet skills) and must be able to learn and remain current on all relevant information technology used by the section and the Board. Note: This is a term position - One year renewable, not to exceed 4 years. US Citizenship required; this position requires a fully onsite presence at the Board's offices in Washington, DC. The expected salary range for this role is $82,000 - $122,500, which spans all the posted grades. Final offers are based on the grade for which you minimally qualify and are determined by experience and education, as well as internal and external factors.
