The Role

This is a full-time Band 4 Medical Secretary post within the Women and Children’s Directorate. We are looking for a highly engaged, approachable and motivated individual who is keen to support their team in the use of new digital M365 tools to improve productivity and enable smarter working.

You will provide a robust administrative service to support the delivery of Obstetric and Gynaecological care. The workload will be fast-paced and unpredictable, so you should be able to demonstrate a sound understanding of discretion, diplomacy and confidentiality. All roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern:

  • This is a permanent, full-time post (36)
  • The working pattern is Monday to Friday, 9:00am–5:00pm, with flexibility.
  • The post is based at Stobhill Hospital

Key Responsibilities

You will manage Gynaecology Consultants’ waiting lists and provide administrative support for Gynaecology Colposcopy. Responsibilities will also include dealing with enquiries from patients and colleagues, audio typing and undertaking other ad hoc administrative duties as required.

You will work as a key member of the team, supporting the delivery of effective and efficient Obstetric and Gynaecological services while contributing to the implementation and use of new digital M365 applications.

Knowledge, training, qualifications and/or experience required to do the job:

  • Experience of working within an administrative or secretarial environment.
  • Sound understanding of the importance of confidentiality, discretion and diplomacy.
  • Ability to work effectively within a fast-paced and unpredictable environment.
  • Good communication and organisational skills.
  • Ability to deal professionally with enquiries from patients and colleagues.
  • Willingness and motivation to learn new skills.
  • Commitment to personal development and continuous learning.
  • Interest in using digital tools and M365 applications to improve productivity and support smarter working.
