Senior Executive Assistant

What You’ll Do:

As our Senior Executive Assistant you will predominantly provide support to the CEO and to the CFO & Deputy CEO, as well as a couple of members of the Marshall Group Management Team.

You will act as a key point of contact between the CEO and CFO & Deputy CEO and the rest of the organisation / external partners, maintaining a high level of professionalism, discretion, and confidentiality at all times. You will have one Executive Assistant reporting to you.

Roles & Responsibilities:

  • Manage complex calendars, including scheduling meetings, appointments, and prioritising demands.
  • Coordinate domestic and international travel arrangements and itineraries.
  • Prepare executive reports, presentations, correspondence, and meeting materials.
  • Organise and attend meetings, take minutes, and ensure action items are followed up.
  • Screen and prioritise incoming communications (emails, calls & mail).
  • Act as the liaison between the executive team (CEO & CFO/Deputy-CEO)
  • Support event planning and organisation on behalf of the executive.
  • Maintain a high level of confidentiality and discretion in all activities.
  • Prepare expense reports and assist with budget management.
  • Conduct research and compile briefing materials for meetings and business development.
  • Support special projects and initiatives led by the executive.
  • Monitor tasks and projects to ensure deadlines are met.
  • Foster strong relationships with key clients, partners, and employees on behalf of the executive.

Who We’re Looking For:

  • Exceptional organisational and time management skills.
  • Excellent verbal and written communication skills.
  • High proficiency in Microsoft Office Suite (Outlook, Powerpoint, Word & Excel).
  • Ability to manage multiple tasks and adapt to a rapidly changing environment.
  • Strong interpersonal skills and professional demeanour.
  • Discretion, integrity, and commitment to confidentiality.
  • Proactive approach and problem solving skills.

You Probably Have The Following Experiences & Skills:

  • Minimum 10 years of experience supporting C-suite executives or senior leadership.
  • Bachelor’s degree in Business Administration, Communications, or related field (preferred), or equivalent work experience.
  • Proven experience in handling sensitive and confidential information.
  • Fluent in, both spoken and written, English and Swedish.
