1540 Billing Specialist (m/f/d)

Your mission

• Invoicing: You are responsible for invoicing all of our business lines for our entities in Germany and the US, from the sales order to invoice delivery, including invoice corrections and credit notes

• Sales order quality: You make sure that every sales order for new contracts and renewals contains all information required for correct invoicing, and you check it for Finance conformity before it is billed. You keep the relevant CRM data in shape and work closely with our Renewals and Sales teams at this interface

• E-invoicing & purchasing portals: You issue structured e-invoices (XRechnung, ZUGFeRD) in line with German requirements and ensure that invoices reach our customers through the purchasing portals they request, such as Ariba, following up on any portal issues

• Close & reporting: You deliver the invoicing cut-off for our month-end close, provide billing data for reporting and track key billing KPIs

• Process development: You improve, automate and document our invoicing workflows in Odoo and contribute to the evaluation of a future billing system

• Invoicing & collection: Together with our Accounting team, you ensure a smooth transition from invoice to payment and dunning, as both processes move closer together within Finance

Your profile

• Education: Commercial vocational training, university degree, or comparable qualification
• Experience: Several years of hands-on experience in B2B invoicing, ideally within a software or subscription environment
• Systems: Experience with Odoo or a similar ERP or billing system
• E-Invoicing & Portals: Practical knowledge of e-invoicing and customer purchasing portals
• Taxation: Solid VAT knowledge in international B2B transactions, including reverse charge and intercompany setups
• Financial Acumen: Clear understanding of how invoicing impacts cash flow, revenue recognition, and the month-end close
• Work Style: Precise, structured, and focused on process documentation and optimization
• Languages: Fluent spoken and written German and English; additional languages are a plus
• Nice to Have: Experience in accounts receivable/cash application, with platforms like Chargebee or Stripe Billing, as well as billing system implementations
