Ibiza Family Office is a private office and principal representation firm supporting private clients and families in Ibiza and Formentera. We provide discreet, independent and highly personalised support across estate governance, property operations, projects, financial administration and private office requirements.

Our team coordinates complex matters across clients, companies, properties and projects, working closely with accountants, lawyers, architects, contractors and other professional advisers. Discretion, reliability, attention to detail and sound judgement are fundamental to how we work.

Role Description

We are looking for an experienced Finance, HR & Administration Manager to join our small Private Office team.

The role will oversee day-to-day accounting and financial administration for Ibiza Family Office and selected client, property and project activities, while also supporting HR and general company administration.

Key responsibilities include:

  • General accounting: suppliers, clients, payroll, expenses, payments and reconciliations.
  • Accounts payable and receivable, invoice control and payment preparation.
  • Preparation and oversight of quarterly and annual AEAT tax filings/models.
  • Cash-flow monitoring, management reporting, budgeting and forecasting.
  • Financial administration across multiple companies, properties and projects.
  • Monitoring expenditure against budgets and project costs.
  • Liaison with external accountants, tax advisers, lawyers, banks and auditors.
  • Payroll coordination, employee documentation and general HR administration.
  • Maintaining financial procedures, records, contracts and internal controls.
Qualifications
  • Strong accounting, bookkeeping and financial administration experience.
  • Good knowledge of Spanish accounting, taxation and AEAT requirements.
  • Strong Excel and accounting software skills.
  • Highly organised, accurate and comfortable managing multiple entities and deadlines.
  • High level of discretion, integrity and professional judgement.
  • Fluent Spanish and strong professional English.
  • Degree in Accounting, Finance, Business Administration or similar preferred.
  • ACCA, ACA, CPA or equivalent qualification is advantageous but not essential.
  • Previous experience in a family office, private estate, property management, construction/project accounting, hospitality or yachting environment would be particularly valuable.
  • The position is full-time and based in Sant Josep de sa Talaia, with flexibility to work remotely for part of the week.
