Position Purpose: The Accountant and Facilities Administrator is responsible for performing and overseeing assigned accounting functions, facilities operations, and financial activities and initiatives that support organizational objectives. Working closely with the CFO and Controller, this position applies accounting principles and exercises independent judgment in analyzing property accounting, Chapter financial processes, managing facilities-related activities, and evaluating operational needs. The role serves as a key liaison among Finance, Property Management, Chapter leadership, and internal departments to ensure accurate financial reporting, efficient facilities operations, and ongoing process improvements and operational effectiveness.
Main Accountabilities:
Accounting and Financial Reporting
Analyzes and reviews accounting transactions to ensure accuracy, completeness, and compliance with established accounting principles, organizational policies, and internal controls.
Maintains the Association's fixed asset records, including acquisitions, disposals, depreciation, and amortization schedules, while evaluating asset activity for accuracy and appropriate accounting treatment.
Prepares monthly depreciation and amortization journal entries and reconciles, analyzes, and resolves variances within related subledgers and the general ledger.
Manages the month-end close activities for AACN Property Holdings, including preparation, review, analysis, and documentation of journal entries and financial reporting.
Reconciles and reviews mortgage accounts, interest accruals, property insurance, and personal property taxes, identifying discrepancies and determining appropriate resolution.
Reconciles Flexible Spending Account (FSA) and Health Spending Account (HSA) activity, prepares related journal entries, and reviews transactions for accuracy and compliance with applicable requirements.
Partners with Payroll to ensure accurate recording of FSA and HSA contributions and reimbursements, troubleshooting discrepancies and supporting accurate financial reporting.
Manages and analyzes advertising revenue accounting with the Association's publishing partner, including accounts receivable tracking, deferred revenue schedules, invoice monitoring, and payment reconciliation.
Facilities Administration
Manages facilities operations and related financial activities in accordance with organizational objectives, budgetary guidelines, and established policies.
Oversees day-to-day facilities operations in partnership with the property management company, evaluating operational needs, coordinating solutions, and ensuring effective service delivery.
Leads the planning, coordination, and execution of facilities projects, monitoring scope, timelines, budgets, and outcomes to support successful project completion.
Develops, monitors, and updates facilities budgets and forecasts, analyzing financial impacts and identifying trends.
Manages workspace assignments and facility requests while collaborating with Property Management, Human Resources, Information Technology, and other departments.
Chapter Financial Administration
Oversees Chapter financial administration activities to support departmental and organizational goals and objectives while ensuring alignment with established financial policies and reporting requirements.
Manages the collection, review, analysis, and evaluation of Chapter financial information to ensure timely receipt, accuracy, completeness, and appropriate financial reporting practices.
Monitors compliance with financial reporting deadlines, evaluates outstanding requirements or reporting issues, and collaborates with Chapter officers to resolve discrepancies and implement appropriate solutions.
Facilitates monthly meetings between Chapters and Finance teams to review financial performance, reporting trends, financial activity, projects, and emerging issues requiring attention or follow-up.
Reviews Chapter financial reconciliation status, analyzes trends and variances, identifies issues, and recommends process improvements to strengthen financial reporting, accuracy, and internal controls.
Provides financial guidance, training, and support to incoming Chapter Treasurers regarding accounting responsibilities, financial reporting requirements, and application of organizational policies and procedures.
Budgeting and Financial Analysis
Supports organizational budgeting, forecasting, and financial planning activities by preparing, analyzing, and interpreting financial information, reports, and decision-support materials.
Contributes to the development of annual budgets and Board presentations through the compilation, analysis, and interpretation of financial data.
Prepares and analyzes financial summaries, dashboards, reports, graphs, and presentations for the Board of Directors, Strategic Council, and leadership to support informed business decisions
Develops and delivers financial and operational communications through presentations, webinars, videos, and other communication materials as needed.
Leads or participates in special projects and organizational initiatives as assigned, applying accounting knowledge and professional judgment to support business objectives.

Skills Required:
Demonstrated ability to independently manage assigned responsibilities while exercising sound judgment, discretion, and professional decision-making.

Demonstrated ability to manage multiple priorities while exercising independent judgment, maintaining confidentiality, and ensuring compliance with organizational policies and financial controls.
Proficiency with Microsoft Office, Google Workspace, and ERP/accounting software such as Microsoft Dynamics GP (Great Plains), Dynamics Budgets, and netForum.
Education and/or Experience:
Bachelor’s Degree in Accounting, Finance, Business, or other related field preferred
Minimum five (5) years of progressively responsible accounting, finance, facilities administration, property management, or related experience.
Experience managing multiple projects, priorities, and deadlines simultaneously while exercising sound judgment and meeting established objectives, or related experience.
Experience with facilities administration, property management, vendor coordination, or related operational support preferred.
Experience working with accounting systems, financial records, reconciliations, and Microsoft Office or Google Workspace applications preferred.

Occasional physical activity may be required, including walking, bending, stooping, kneeling, crouching, or reaching. The role may require occasional lifting or carrying of light materials related to office or facilities support activities.
This is a hybrid role. Ability to travel occasionally is required.
Total Compensation:
The target pay range for this role is $62,366 - $77,958
