About The Role

As an Accounts Administration Officer, you will provide high-level administrative, financial, and operational support to ensure the smooth running of organisational processes. You will play a key role in supporting participant onboarding, funding management, invoicing, payroll, compliance, and financial reporting while maintaining accurate records and delivering exceptional customer service.

Your Responsibilities May Include

Participant Onboarding and Funding

  • Facilitating the onboarding of new participants, including account setup and completion of required documentation
  • Interpreting NDIS plans and maintaining participant funding records
  • Monitoring participant budgets and funding utilisation
  • Liaising with participants, stakeholders, and internal teams regarding NDIS funding and supports
  • Responding to enquiries relating to participant accounts and funding arrangements

Financial Administration

  • Preparing and monitoring budgets for supported accommodation services
  • Processing and reconciling invoices, payments, and financial transactions
  • Tracking participant funding utilisation and preparing financial reports
  • Monitoring organisational cash flow and financial performance
  • Supporting accurate financial record keeping and reporting

Invoicing, Claiming and Reconciliation

  • Preparing and lodging NDIS claims through PRODA
  • Processing participant invoices and financial transactions
  • Monitoring outstanding accounts and following up discrepancies
  • Reconciling accounts payable, accounts receivable, and bank statements
  • Supporting teams to meet invoicing deadlines

Payroll Administration

  • Managing timesheet collation and payroll processing
  • Supporting employees and managers to meet payroll deadlines
  • Maintaining accurate payroll records
  • Ensuring payroll processes comply with relevant legislation and Award requirements

Communication and Stakeholder Liaison

  • Providing clear and accurate information regarding accounts, funding, and invoicing
  • Supporting collaboration between finance, operations, rostering, and service delivery teams
  • Building positive relationships with participants, staff, and external stakeholders
  • Delivering a high standard of customer service

Systems, Reporting and Continuous Improvement

  • Utilise accounting, payroll, and Microsoft Office systems effectively, including Xero, Employment Hero, and Budgetly where applicable.
  • Maintaining accurate records and reporting systems
  • Producing financial reports and operational data
  • Using accounting, payroll, and Microsoft Office systems effectively
  • Supporting organisational compliance and audit requirements

About You

We are looking for people who demonstrate:

  • High attention to detail and a commitment to accuracy
  • Strong analytical and problem-solving skills
  • Excellent organisational and time management abilities
  • Strong written and verbal communication skills
  • The ability to build trust and rapport with diverse stakeholders
  • Minimum two years' experience in a finance, billing, accounts, or payroll role within the NDIS or disability sector.
  • Certificate IV or higher in Business Administration, Finance, or Accounting, or equivalent experience within the NDIS sector.

Essential Requirements

  • Sound understanding of payroll processes and current SCHADS Award requirements.
  • Certificate IV or higher in Business Administration, Finance, Accounting, or a related field (or equivalent experience)
  • Proficiency with accounting, payroll, and expense management systems
  • Advanced Microsoft Excel skills and strong Microsoft Office capability
  • Sound understanding of payroll and timesheet processes
  • Strong organisational, analytical, and problem-solving skills
  • National Police Check
  • Current Australian Driver Licence
  • Valid and unrestricted Australian work rights
  • Ability to work remotely and attend office locations as required
  • Access to a reliable internet connection and computer

Desirable Qualifications And Experience

  • Experience in a finance, billing, or accounts role within the NDIS or disability sector
  • Knowledge of NDIS funding, pricing arrangements, and claiming requirements
  • Experience using Xero, Employment Hero, and Budgetly
  • Proficiency in NDIS claiming through the myplace provider portal (PRODA) and understanding of NDIS legislation and funding arrangements.
  • Experience processing payroll under the SCHADS Award
  • Familiarity with NDIS claiming through the myplace provider portal (PRODA)
  • Understanding of GST and BAS processing
  • Knowledge of NDIS legislation and funding arrangements
