SERVICE ROLE
Accounts Payable Coordinator
Role Summary
The Accounts Payable Coordinator owns day-to-day AP execution: invoice processing,
three-way matching, vendor payments, expense and reimbursement processing, and AP
reconciliations. The role keeps the payables cycle accurate, on time, and fully compliant with US
GAAP.
This is a hands-on execution role for someone who is precise, deadline-driven, and comfortable
working across accounting and e-commerce systems. The role is not managerial and does not
own accounting policy or financial strategy.
Execution Ownership
Invoice and payment processing
• Code, enter, and process vendor invoices accurately and on time
• Perform three-way matching of purchase orders, receipts, and invoices
• Prepare and execute payment runs (ACH, wire, check, card) within terms
• Resolve invoice discrepancies, short-pays, and disputes with vendors
US GAAP and compliance
• Apply correct GL coding and ensure proper expense recognition under US GAAP
• Maintain accruals for unbilled and received-not-invoiced items at period close
• Support month-end AP close, including cutoff and accrual entries
• Maintain W-9 collection and support 1099 reporting
• Enforce sales/use tax treatment on payables where applicable
Reconciliation and reporting
• Reconcile AP sub-ledger to the general ledger
• Reconcile vendor statements and clear aged open items
• Maintain the AP aging and flag overdue or at-risk balances
• Update trackers, reports, and internal documentation
Cross-functional support
• Work with operations and finance on PO accuracy and receipt timing
• Follow established workflows and flag issues early
KPIs
• Invoice processing accuracy target 99 percent or higher
• On-time payment rate within terms target 98 percent or higher
• AP sub-ledger to GL reconciled with zero unexplained variances
• Month-end AP close completed within SLA target 100 percent
• Zero missed 1099 or compliance deadlines
• Discrepancy resolution speed proactive and timely
Required Skills and Experience
• 3 to 5 years of accounts payable or general accounting experience
• Strong working knowledge of US GAAP, especially expense recognition and accruals
• Experience with full-cycle AP and three-way matching
• Strong written and spoken English communication
• Highly organized, reliable, and detail-oriented
• Comfortable working US Central / Mountain Time hours
Required Computer Skills
• ERP / accounting software (NetSuite, QuickBooks, or similar)
• Microsoft Excel for reconciliations, pivots, and tracking
• Microsoft Outlook for email and Microsoft Teams for internal communication
• Microsoft Word and PowerPoint for documents and summaries
• Accurate data entry and file organization across multiple systems
Nice to Have
• Experience supporting e-commerce or consumer brands
• Experience with Shopify and marketplace payout reconciliation
• Experience with AP automation tools (Bill.com, Ramp, Tipalti)
• Exposure to inventory and COGS-related payables
• 1099 and multi-state sales/use tax experience
What This Role Is Not
• Not responsible for accounting policy or financial strategy
• Not responsible for treasury or cash-flow forecasting ownership
• Not a management role
• Not an FP&A or controller-track role
Not a Fit If
• Weak on US GAAP fundamentals or accrual accounting
• Dislikes detail-heavy, deadline-driven, or repetitive work
• Struggles with time zone discipline
• Needs constant supervision
• Avoids follow-ups, reconciliation, or accountability
Screen Pass Criteria (for Recruiters)
• Demonstrated US GAAP knowledge, not just data entry
• Clear, professional written communication
• Proven ability to reconcile and resolve discrepancies independently
• Organized, accurate, and execution focused
Top Screening Questions (for Recruiter)
1. Walk me through full-cycle AP as you have owned it, from invoice receipt to payment.
2. Explain three-way matching and what you do when the three documents do not agree.
3. Under US GAAP, how do you handle an expense for goods received but not yet
invoiced at month-end?
4. How do you reconcile the AP sub-ledger to the GL, and how do you resolve a variance?
5. What ERP and AP tools have you used, and at what monthly invoice volume?
6. Are you comfortable working US Central / Mountain Time hours?
Recruiter Instructions
• Screen for genuine US GAAP understanding, not memorized definitions
• Confirm time zone availability early
• This role is execution focused, not strategic; do not oversell a leadership path
• Quality over volume. Fewer strong, accurate candidates preferred
• Reject candidates seeking an FP&A, controller, or analyst transition
