PCSI is looking for an Accounts Payable Manager to lead our corporate AP team. As the AP Manager, you'll be a working manager, leading the day-to-day Accounts Payable function while working alongside the team. You'll strengthen processes, develop staff, and ensure payments, expenses, and vendor activity are handled accurately, efficiently, and with the right financial controls in place.

We're looking for a hands-on leader to coach and develop the team, prioritize workloads, and manage process changes as PCSI and our finance team continues to grow.

How You’ll Work:

  • Hybrid work schedule, up to 2 remote days per week.
  • Based primarily at the Corporate Headquarters office in south Austin, TX.
  • Must be located in the Austin, TX metro area.

Benefits Include:

  • Annual bonus opportunity up to 8%.
  • Comprehensive medical, dental, and vision coverage with 100% employer-paid premiums for Employee Only plans.
  • 401(k) with company match up to 6%, with pre-tax and Roth options, and 100% immediate vesting upon eligibility.
  • Company-paid short-term and long-term disability, plus additional voluntary benefit options.
  • 21 days of PTO each year, in addition to all federal holidays.

Who We Are:

PCSI is a non-profit organization whose mission is to enhance the lives of people with disabilities through employment, advocacy, partnerships, and innovation. We vet, prepare, lead, and sustain a skilled workforce that provides top-tier services at job sites across the country. Our areas of expertise are wide and diverse; total facilities maintenance, hospital environmental services, custodial and grounds, disability awareness training, job coaching, and job placement are just a few. We integrate people with disabilities and veterans into meaningful jobs with competitive wages and benefits. Serving people of all abilities in their life’s journey is at the heart of what we do.

What You'll Do as Accounts Payable Manager:

Accounts Payable Oversight and Review:

  • Lead Accounts Payable operations including vendor management, invoice processing, payments, and aging review.
  • Review and approve weekly check runs after AP preparation, confirming supporting documentation, delegated approvals, due dates, duplicate checks, exceptions, and payment controls before execution.
  • Oversee expense-report workflow, receipt and policy compliance, approval follow-up, and posting only after documented Accounting review of general-ledger coding.
  • Oversee vendor setup and change requests, validation support, recurring-vendor monitoring, duplicate prevention, and segregation between vendor maintenance and payment approval.
  • Administer purchase card and travel-and-expense processes, including employee setup, cardholder support, receipts, aging, policy guidance, access, and backup coverage.
  • Monitor AP aging, in-use and disapproved invoices, payment files, urgent and off-cycle items, supplier issues, and service-level performance.

Team Leadership and Process Improvement:

  • Develop and maintain AP policies, procedures, approval workflows, purchase-order matching requirements, control documentation, audit support, and exception evidence.
  • Manage, develop, and hold AP staff accountable for performance, productivity, service, cross-training, and professional growth; prioritize workload and establish backup coverage.
  • Partner with Accounting, Operations, Procurement, IT, Finance leadership, Legal, vendors, and other departments to resolve transactional issues and improve service delivery.
  • Evaluate, implement, test, and support AP automation, payment workflows, expense tools, reporting, and related systems without weakening segregation of duties.
  • Support continuous improvement initiatives, quality standards, documentation, and technology-enabled process enhancements.

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

What You'll Need:

Required Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business, or a related field preferred; an equivalent combination of education and directly relevant experience may be considered.
  • Minimum five (5) years of progressive full-cycle accounts payable or financial-operations experience, including invoice processing, vendor management, payment workflows, reconciliations, and controls.
  • Minimum two (2) years of experience supervising staff.
  • Strong understanding of accounts payable processes, controls, and subledger accounting within an ERP environment.

Preferred Qualifications:

  • Advanced proficiency in Microsoft Excel, including reporting, analysis, and data management.
  • Experience leading AP automation, purchase card, travel-and-expense, payment workflow, system implementation, testing, training, and change management.
  • Experience with government contracting, regulated environments, Unanet, CostPoint, or comparable ERP systems.

Knowledge, Skills and Abilities:

  • Strong knowledge of accounts payable, invoice processing, payments, vendor administration, expense reporting, purchase cards, aging management, and internal controls.
  • Strong knowledge of payment fraud prevention, vendor validation, approval workflows, purchase-order matching, segregation of duties, and audit evidence.
  • Strong communication, interpersonal, and conflict-resolution skills with the ability to build productive relationships across departments and with vendors.
  • Ability to lead teams, manage priorities, delegate effectively, work in the transaction queue when needed, and drive results.
  • Strong analytical, organizational, and problem-solving skills with attention to detail.
  • Ability to manage confidential financial and vendor information with discretion and work independently in a collaborative environment.
  • Commitment to continuous improvement, operational excellence, and customer service

Other Requirements:

  • Ability to pass criminal, drug, financial, and driving screening, as required by Company policy.
  • Ability to remain in a stationary position regularly, operate a computer and standard office equipment, exchange accurate information, and occasionally carry office materials up to 20 pounds.
  • Constantly operates a computer and other office productivity machinery, such as calculator, phone, fax, copier, etc. and a personal computer.
  • Ability to exchange accurate information in person and over the phone.
  • Primarily works indoors; occasional travel may be required, up to 5%.
