We are seeking a detail-oriented, highly organized Accounts Payable & Treasury Specialist to oversee daily financial operations, cash management, and financial recordkeeping for a US-based client. You will manage end-to-end vendor payment processing, Positive Pay administration, subscription renewals, multi-account bank and credit card reconciliations, and QuickBooks system maintenance. This role is ideal for an accounting operations professional who excels at handling high-volume payments across multiple banking and vendor platforms with precision.

Your Impact

• Accounts Payable Management: Review purchase orders, process vendor payments via ACH, wire, and check, update tracking logs, manage shipping/utility payments across portals, and monitor recurring auto-pay arrangements.

• Treasury & Cash Operations: Review and approve Positive Pay bank transactions, monitor daily banking activity, maintain cash payment logs, and ensure timely, secure payment processing.

• Multi-Account Reconciliations: Perform daily and monthly reconciliations across 4 bank accounts and 2 corporate credit card accounts; import, sync, and reconcile a non-integrating credit card into QuickBooks.

• QuickBooks Recordkeeping & Audit Readiness: Maintain accurate financial ledgers in QuickBooks Online, investigate ledger discrepancies, and attach supporting documentation for internal reporting and audits.

• Subscription & Vendor Administration: Track software subscriptions, monitor renewal schedules, ensure recurring vendor contract compliance, and resolve payment status inquiries.

What You Bring

• The Experience: 2+ years of hands-on experience in Accounts Payable, Bookkeeping, or Accounting Operations, with direct exposure to supporting US-based business workflows preferred.

• Software Competency: Practical proficiency with QuickBooks and advanced Microsoft Excel skills (data matching, reconciliations, tracking logs).

• Payment & Treasury Knowledge: Hands-on experience processing ACH, wire transfers, and checks, approving Positive Pay files, and navigating vendor payment portals.

• Reconciliation Expertise: Proven background handling complex daily/monthly reconciliations across multiple bank accounts and manual credit card feeds.

• Core Competencies: Exceptional attention to detail, strong problem-solving abilities, high organizational skills, and excellent written and verbal English communication skills.
