Why This Role Matters
The Administration Specialist is a key enabler of the organization, ensuring the smooth and efficient delivery of office, finance, HR, and IT support activities. By managing critical administrative processes, coordinating with internal stakeholders and external partners, maintaining accurate records and compliance, and supporting employees throughout their lifecycle, this role ensures business continuity, enhances employee experience, and enables teams to focus on achieving strategic business objectives.
What You'll Do
- Manage end-to-end office administration activities, including incoming and outgoing correspondence, document preparation and filing, records management, archiving, courier services, and coordination of office supplies and equipment maintenance.
- Maintain accurate administrative records and asset inventories (company vehicles, mobile devices, IT equipment, and access cards), ensuring data integrity, regulatory compliance, and efficient office operations while liaising with external service providers and archiving partners.
- Act as the primary point of contact for internal employees, suppliers, and external service providers, managing day-to-day communications, coordinating information flow, responding to inquiries, supporting ad hoc requests, and facilitating effective collaboration between vendors, finance, accounting, and other business functions.
- Support financial operations by managing quotation requests, creating and maintaining purchase orders and goods receipts, uploading contracts, processing and approving invoices, and coordinating with vendors, Finance, and FIE to ensure accurate invoicing and timely payments.
- Support HR administration by coordinating employee documentation, tax-related records, compliance requests, and ad hoc HR processes, while serving as a liaison with HR teams, TMF, and external stakeholders to ensure accurate and timely employee data management.
- Facilitate a seamless employee lifecycle experience by supporting onboarding and offboarding activities, including equipment and company car administration, medical examinations and HSE training coordination, new hire integration, exit procedures, and employee engagement initiatives such as team events and welcome/farewell activities.
- Provide first-line local IT coordination and user support by managing mobile and IT equipment lifecycle activities, including device procurement, subscription administration, equipment handovers, repairs and replacements, troubleshooting operational issues, and coordinating with external technology providers and network specialists.
What We're Looking For
- Bachelor's degree in Business Administration, Economics, Human Resources, Finance, or a related field.
- 2-4 years of experience in Office Administration, Executive/Administrative Support, Office Management, or a similar operational support role.
- Fluency in English (written and spoken), with the ability to communicate effectively with internal stakeholders, external vendors, and regional teams.
- Strong administrative and organizational skills, with experience managing documentation, records, archiving, office operations, and multiple priorities simultaneously.
- Good financial administration knowledge, including purchase orders (POs), invoice processing, vendor coordination, contract administration, and basic accounting support activities.
- Proficiency in Microsoft Office Suite, particularly Excel, Outlook, Word, and Teams; experience with ERP/procurement systems (e.g., SAP, Workday, Ariba, or similar) is an advantage.
- Excellent interpersonal and stakeholder management skills, combined with a proactive mindset, strong attention to detail, discretion in handling confidential information, and the ability to work independently.
