Job Description

The Special Administrative Assistant to the Director will provide support to the Utah Office of Energy Development’s Director/Energy Advisor to the Governor, ensuring the effective management of the Director's time, communications, operations and priority initiatives. This role will directly support the Director and serve as a central point of coordination across the office. The Special Adminstrative Assistant helps ensure that information, decisions, and priority initiatives are coordinated across the Director, deputy directors, and staff, advancing OED's work and the Governor's energy priorities.

*This is a Full-Time position with a hybrid work schedule: 3 days a week in office and 2 days virtual.

Key Responsibilities

Executive & Administrative Support:

  • Manage the Director's calendar,prioritizing time-sensitive meetings, tasks, and events.
  • Manage the Director's email, flagging urgent items, drafting responses, and ensuring timely follow-up.
  • Coordinate and plan logistics for meetings, briefings, and travel.
  • Support communication and alignment between the Director and staff to support execution.
  • Communicate with Deputy Directors to ensure alignment of priorities, events, etc.

Event and Meeting Preparation:

  • Prepare briefing materials in advance of meetings.
  • Collaborate with the Comms team to prepare talking points and speeches for public-facing events and interviews.
  • Join the Director in meetings, calls, and at events, to take detailed notes and track items for follow-up.
  • Coordinate and follow up with key individuals on the Director’s behalf via email and calendar.
  • Coordinate Director’s attendance at conferences and events.
  • Maintain a running log of open items and proactively follow-up with respective staff and/or stakeholders.

Qualifications

Minimum

  • Two to three years of experience working in an office environment, project management, program development, or a related topic.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously.
  • Strong attention to detail, efficient and accurate communication, research, and other administrative skills to effectively execute day-to-day operations.
  • Proven track record of success in a fast-paced and collaborative environment.
  • A self-starter with acute attention to detail, and superior critical thinking and problem-solving skills.
  • Time management and organizational expertise, with the ability to prioritize a diverse workload.
  • Strong communication and interpersonal skills.

Preferred

  • Bachelor's degree from an accredited university.
