- Answer incoming telephone calls in a professional, courteous, and timely manner and appropriately route calls to the correct department, team member, or clinic location.
- Take accurate messages when the appropriate team member is unavailable and ensure timely follow-up.
- Schedule, reschedule, and cancel patient appointments in accordance with clinic scheduling protocols.
- Assist patients in selecting the appropriate appointment type based on the services requested.
- Maintain accuracy when entering appointment information into the electronic medical record (EMR) or scheduling system.
- Send patient portal enrollment or access links as appropriate.
- Send authorized X-ray or diagnostic imaging links to patients using established procedures.
- Assist with administrative tasks that support daily urgent care operations.
- Enter and update patient information accurately in the EMR and other designated systems.
- Assist with patient forms, documentation requests, and administrative correspondence.
- Follow established workflows for medical records and document requests.
- Provide a welcoming, professional, and service-oriented experience to patients and callers.
- Handle difficult or frustrated callers with professionalism, empathy, and appropriate de-escalation techniques.
- Maintain strict confidentiality of patient, employee, employer, and business information.
- Follow HIPAA and all applicable federal, state, and organizational privacy and security requirements.

- High school diploma or equivalent required.
- Prior experience in healthcare, urgent care, medical office, customer service, call center, or administrative setting preferred.
- Experience with electronic medical records (EMR/EHR) preferred.
- Strong computer and technology skills.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills.
- Ability to multitask and prioritize competing demands.
- Strong attention to detail and accuracy.
- Ability to maintain patient confidentiality and handle protected health information appropriately.
- Ability to work independently in a remote environment while remaining responsive and accountable to the team.
