Cardiovascular Medicine Access: Administrative Assistant 2

The Administrative Assistant 2 provides specialized clinical scheduling support for the Division of Cardiovascular Medicine within the Department of Internal Medicine. This role supports accurate and timely scheduling workflows through provider template management, clinic schedule maintenance, vacation-related schedule coordination, clinic cancellation support, and communication with internal scheduling partners. The position serves as a scheduling liaison among the Division, Central Scheduling, IHIS, Cadence, division access leadership, and other appropriate partners to help maintain efficient clinical operations and patient access.

Job Description

The Administrative Assistant 2 is responsible for coordinating and maintaining physician and provider clinical schedules across assigned service areas, including outpatient clinics, inpatient service coverage, procedural areas, call schedules, and special programs. This position develops, updates, modifies, and verifies provider templates, block schedules, and clinic schedules within applicable scheduling systems to ensure accuracy, appropriate provider coverage, and alignment with immediate operational needs, long-range scheduling plans, division and departmental guidelines, and patient access expectations. The role also coordinates provider vacation requests and related clinic schedule adjustments, including clinic cancellations, reschedules, template updates, and timely communication of changes to appropriate scheduling partners. In collaboration with the Division, Central Scheduling, IHIS, Cadence, division access leadership, and other appropriate stakeholders, this position reviews and triages scheduling-related correspondence, responds to routine scheduling inquiries, assists with resolving clinical scheduling concerns, and helps promote continuity of clinical operations and patient access.

Tasks

  • 40% – Clinical Scheduling Support: Supports accurate provider and clinic schedules to maintain coverage and patient access.
  • 25% – Schedule and Template Maintenance: Maintains provider templates, block schedules, and clinic schedules in scheduling systems.
  • 20% – Schedule Changes and Time Away Coordination: Processes provider availability changes, time away, clinic cancellations, and reschedules.
  • 15% – Scheduling Communication and Coordination: Responds to scheduling inquiries, monitors correspondence, and coordinates with internal partners.
