Position Summary

The characteristic duties listed pertain to the areas of human resources, finance, or general business operations. Typical Duties:

  • Provides high-level administrative support to BFS leadership, including the CFO, Associate Director of Financial Operations, and Associate Director of Financial Integration and Strategy. Coordinates complex calendars, selected executive communications, limited travel arrangements, quarterly RHS Leadership budget meetings, and related documentation. Supports divisional initiatives that advance BFS objectives. (20%)

  • Supports CFO, Associate Director of Financial Operations, Associate Director of Financial Integration and Strategy and Fiscal Officers in management of financial accounts, compliance tracking, and fiscal controls. (20%)

  • Serves as a central point of coordination across BFS teams, helping connect information, activities, and priorities to support effective decision-making and organizational effectiveness. (10%)

  • Utilizes operational expertise and technology to support project management, track strategic initiatives, coordinate follow-up actions, and monitor progress toward established goals and priorities. (10%)

  • Works with BFS, RHS Strategic Communications, The Controller’s Office, and Office of Planning and Budgets to create reports for MSU leadership, including data findings, Housing and Dining Rate recommendations, and operational updates. (10%)

  • Evaluates current processes, including standard operating procedures (SOPs), records management, and archiving practices. Develops actionable solutions or maintains current workflows to ensure consistency, accuracy, and compliance. (10%)

  • Coordinates internal communications, meeting materials, leadership updates, reports, Microsoft Teams resources, and other tools that support collaboration and information sharing across BFS. (10%)

  • Supports onboarding, position posting coordination, and ongoing training and professional development efforts in collaboration with Human Resources. Coaches and guides staff on the effective use of business processes, procedures, and available resources. (10%)

Note: This position will be fully onsite for the first six months, followed by the option to switch to a hybrid schedule of 3 days onsite, 2 days remote. This is not a fully remote position.

All positions in RHS Are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency conditions, you will be expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. Minimum Requirements

Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in Business, Finance, Accounting, Administrative or business related field; three to five years of related and progressively more responsible or expansive work experience in office procedures and administration, experience with word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; or an equivalent combination of education and experience.

Desired Qualifications

  • Experience supporting senior leaders or executive-level administrators.

  • Experience coordinating complex projects involving multiple stakeholders.

  • Demonstrated ability to organize work independently and manage competing priorities.

  • Experience with Microsoft 365 tools, including Teams, SharePoint, Word, Excel, PowerPoint, and Forms.

  • Experience in higher education, business operations, finance, accounting, or administrative services environments.

  • May require valid vehicle operator's license where needed to perform duties of the position.
