Job Title: Administrative Coordinator (Advocacy & Political Affairs) Job Description Our Client is seeking an Administrative Coordinator to support its Advocacy & Political Affairs function, with a focus on the Campaigns & Elections department. In this role, you ensure timely coordination of information, maintain organized documentation across cloud-based systems, support meetings and scheduling, and manage key financial processes related to stipends, grants, and travel. You serve as a central administrative resource, helping the team operate efficiently in a fast-paced, feedback-driven environment. Responsibilities Monitor and manage centralized email inboxes, ensuring timely gathering of information and responses. Provide comprehensive administrative support to the Advocacy & Political Affairs function, including the Campaigns & Elections department. Organize and maintain documents in SharePoint and other cloud-based systems to ensure easy access and version control. Support meetings by handling scheduling, calendar coordination, and programmatic documentation maintenance. Prepare, update, and distribute monthly compliance reports based on data collected from centralized email boxes and internal systems. Provide direct administrative support to the Director of the Campaigns & Elections department, including correspondence, documentation, and follow-up tasks. Perform data entry and data maintenance tasks to keep records accurate and up to date. Process stipends, grant payments, invoices, and related financial documentation in a timely and accurate manner. Track and process stipend payments, non-staff travel expenses, and grant-related payments, ensuring proper documentation and compliance. Deliver professional customer service to internal stakeholders and external partners through email, phone, and other communication channels. Complete other administrative duties as assigned to support departmental operations and organizational priorities. Essential Skills At least 2 years of experience in an administrative role providing clerical and administrative assistance. Proficiency in Microsoft Excel, including data entry and basic data management. Proficiency in SharePoint for organizing, storing, and maintaining documents in a cloud-based environment. Strong skills in Microsoft Office, including Outlook for email and calendar management. Demonstrated administrative support experience, including scheduling, documentation maintenance, and meeting coordination. Accurate and efficient data entry skills with strong attention to detail. Customer service skills with the ability to communicate clearly and professionally. Ability to work effectively in a strict, feedback-driven work environment. Additional Skills & Qualifications Bachelor’s degree is preferred and may be considered in lieu of some experience; candidates with sufficient relevant experience may be considered without a degree. Experience with administration and clerical support in a structured, process-oriented environment. Familiarity with additional software tools beyond Microsoft Office is a plus. Ability to collaborate within a small team and support multiple stakeholders. Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines. Work Environment This role operates in a hybrid work environment, with three days per week onsite and two days remote. The specific onsite days may vary. You join a team of approximately seven people and work a standard Monday through Friday schedule from 8:00 a.m. to 5:00 p.m. The environment is structured and feedback-driven, with clear processes and expectations. You will regularly use Microsoft Office, including Excel and Outlook, as well as SharePoint and other cloud-based systems to manage documents, data, and communications. The position is offered as a 6-month contract with the potential opportunity to convert to a permanent role, though conversion is not guaranteed. Job Type & Location This is a Contract position based out of Washington, DC. Pay and Benefits The pay range for this position is $30.00 - $40.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
