About the Diversity Alumni Programs (DAP) Diversity Alumni Programs (DAP) drives Cornell’s diverse alumni initiatives, alumni associations, and networks. Our efforts center on orchestrating the work of each of our associations and networks – advancing their mission and goals. Our work consists of strengthening volunteer association volunteer board leadership and pipelines; organizing dynamic engagement events; conducting fundraising initiatives to support diversity programs on campus; and cultivating our growing alumni community of diverse Cornellians. The Opportunity The Administrative Coordinator, Diversity Alumni Programs provides administrative support for the Director and Associate Director, Diversity Alumni Programs. This includes scheduling meetings, booking travel, and reconciling budget expenses, reimbursements, and vendor invoices in addition to other requests from the Director. The Administrative Coordinator, Diversity Alumni Programs will a ssist Diversity Alumni Programs (DAP) by providing administrative support and organizational skills in the daily operation of the program. The program’s charge is to expand the number of diverse alumni participating in all Cornell programs and identify alumni from these groups to serve in alumni leadership capacities for Cornell. Diversity Alumni Programs also provides staff support and leadership to the President’s Council of Cornell Women (PCCW), Cornell Mosaic and Cornell diverse alumni associations which include: the Cornell Asian Alumni Association (CAAA), the Cornell Black Alumni Association (CBAA), the Cornell Latino Alumni Association (CLAA), the Cornell Military Network (CMN), the Cornell Native American Alumni Association (CNAAA), and Cornell Pride: Cornell’s LGBT Alumni Association and first generation alumni. Some of the diverse association’s areas of focus: Connect alumni to each other through various forms of communication and through events and programs both on and off campus. Support, mentor and connect with current students and diversity programs on campus. Provide financial support for current students and/or diversity programs on campus. The Administrative Coordinator, Diversity Alumni Programs also maintains and updates websites, and creates event registration pages, event reports, and email communications. In addition, this position will work with Diversity Alumni Programs on fundraising. Duties include production and management of various planning and gift reports to support special campaigns and related event and communications activities and data support. This person must be exceedingly well organized, possess excellent customer-service skills, and demonstrate expert Microsoft Office skills, with a special focus on data reporting. The ability to interact with staff and alumni volunteers at all levels in a fast-paced environment, sometimes under pressure, while remaining flexible, positive, resourceful, and efficient with a high level of professionalism and confidentiality is important to this role. Superior communication skills and attention to detail are also important. The ideal candidate will be a proactive problem solver with an interest in Cornell University and a commitment to the university's alumni affairs and fundraising missions. Success Factors You’ll be considered competitive for this opportunity if you demonstrate: Data Savvy: Comfortable pulling, organizing, and manipulating data and understanding what information is needed to support programs and decisions. Ownership & Initiative: Anticipates needs, works independently, follows through, and communicates early when something needs attention. Program & Event Coordination: Keeps the many moving pieces of programs, events, communications, and volunteer activities organized and on track. Relationship-Centered Service: Enjoys supporting alumni volunteers and colleagues with responsiveness, patience, tact, and a collaborative approach. Hours and Location This is a full-time, 39-hour, benefits eligible position based in Ithaca, NY that can be performed in a hybrid format, 3 days remote, 2 days in office, Monday through Friday, with work generally scheduled between 8:00 a.m. and 5:00 p.m. Start and end times have some flexibility and will be determined in partnership with the supervisor. On campus/in office work is required for special events and event preparation. Because this role supports alumni programs and events, occasional evening work and travel are required. Evening commitments are generally planned in advance and occur approximately five times per year. Occasional short-term travel to support events may also be required, typically no more than twice per year and potentially including locations such as New York City, Washington, D.C., or Boston. Additional hours, including overtime, may occasionally be required during particularly busy periods. Associates degree and 2 to 4 years relevant experience or equivalent combination Ability to represent Diversity Alumni Programs, its organizations, and fundraising campaigns in a highly professional manner, handling situations with tact and diplomacy. Expert knowledge of Outlook, Excel, PowerPoint, Word, databases, networked informational systems, the internet, and communication systems. Proven ability to effectively collaborate with internal cross-functional teams, and external groups in a high-performance environment. Ability to manage multiple priorities and quickly change direction and re-prioritize. Prior experience with diversity, social justice, intercultural competencies and/or cross-cultural understanding. Ability to cultivate and develop inclusive working relationships with alumni, students, faculty, staff, and community members. If you have all those things, great! We have a few more things that we would prefer you to have, but it’s ok if you don’t. Bachelor’s degree from a recognized college or university with one or more years of relatable experience. Experience with or aptitude and willingness to learn the following programs: iModules, PeopleSoft, CU Volunteer, Qualtrics, Zoom, and Brio.
