Description
Position Summary:
The Administrative Specialist provides day-to-day administrative and operational support to the program team. You will keep the program's operational rhythm running smoothly, coordinating meetings, documentation, onboarding logistics, and travel, so that delivery leaders and technical staff can focus on the mission.
Key Responsibilities:
- Coordinate calendars, schedule meetings, and arrange conference rooms and virtual sessions across program teams
- Prepare, format, and maintain program documents, meeting minutes, agendas, and presentation materials
- Support onboarding and badging logistics for new staff, including paperwork tracking and scheduling
- Maintain shared document repositories (SharePoint/Teams) and manage version control and records retention
- Arrange travel, process expense reports, and support invoice and timekeeping administration
- Track action items and follow-ups from meetings and drive them to closure
- Provide general office and administrative support to program leadership as needed
- Support compliance with federal recordkeeping and documentation standards

Requirements
Non-Technical Requirements:
- Must be a U.S. Citizen.
- Must be willing to work a HYBRID Schedule (3 Days) in Reston, VA & client locations in the Washington D.C. area as required.
- Ability to pass a 7-year background check and obtain/maintain a U.S. Government Clearance
- Strong communication and presentation skills.
- Must be able to prioritize and self-start.
- Must be adaptable/flexible as priorities shift.
- Must be enthusiastic and have passion for learning and constant improvement.
- Must be open to collaboration, feedback and client asks.
- Must enjoy working with a vibrant team of outgoing personalities.
Required Qualifications:
- 3+ years of administrative, executive support, or office coordination experience
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong organizational skills and attention to detail
- Professional written and verbal communication skills
Preferred Qualifications:
- Federal program or government contracting support experience
- Experience with SharePoint, Teams, and collaborative document management
- Familiarity with travel/expense systems and basic financial administration
