Position Summary:

Reporting directly to the Manager of Student Affairs, the Administrative and Student Affairs Coordinator is responsible for the administrative and student affairs activities within the Faculty of Dentistry. Oversee undergraduate, graduate, and postgraduate programs. responsible for the organization and unit documents and files and serves as a resource on faculty policies and procedures.

Job duties:

Provide information and administrative support to prospective applicants on the admissions requirements of the program.

  • Collaborate to maintain an admissions process consistent with McGill's policies, databases, deadlines and software systems.
  • liaise with the university on entry and documentary requirements.
  • Serve as the primary resource for the maintenance and updating of student records (such as registration, exams and grade submission, degree evaluation and graduation approval).
  • Produce course schedules and manage student registration.
  • Perform degree evaluations and approve graduation. Refer difficult cases to Supervisor.
  • Administer student awards and scholarships.
  • Liaise with central McGill Services (most notably Enrolment Services, Student Accounts, and International Student Services)
  • Provide and student records support advocating for the program with Enrolment a Services, Student Accounts, and Graduate Studies; act as a resources person, between students and the university.
  • Work closely with the Communications team for website updates related to recruitment
  • Provide administrative support related to production of marketing materials (brochures, fact sheets, presentations, website, social media, emails, etc.)by reviewing content put together by the Communications Team.
  • Post material on line on faculty web-site.
  • Perform related duties.

Other Qualifying Skills and/or Abilities
A self-starter with student affairs and admissions experience. Team player with a strong sense of commitment and dedication. Excellent organizational and communications skills with strong attention to detail. Ability to prioritize and manage maintain several deadlines at once. Knowledge of Banner is a definite asset. Demonstrated ability to use the Microsoft Office suite, i.e. word processing, excel, database, and Minerva. Knowledge of French and English:
