Position Profile

Weaver is seeking an Advisory Senior Administrative Assistant. The Advisory Senior Administrative Assistant provides advanced administrative and operational support across the Advisory practice. This position independently manages complex assignments and recurring workflows, serves as a resource for assigned processes, supports team development and coverage, and contributes to efficient and consistent administrative operations.

Duties and Responsibilities:

  • Provide advanced administrative and operational support to Advisory professionals and teams, anticipating needs, coordinating priorities, and ensuring timely follow-through
  • Independently manage complex assignments and recurring administrative workflows, ensuring accuracy, consistency, and timely completion.
  • Serve as a process owner, backup, or subject-matter resource for assigned administrative functions, providing guidance, training, and cross-training to other team members
  • Draft, format, proofread, edit, process, and perform quality-control reviews of engagement letters, reports, correspondence, presentations, and other client or internal deliverables in accordance with firm standards
  • Support client, lead, opportunity, engagement, and project administration within the Firm's CRM and related systems, including data maintenance, workflow coordination, approvals, troubleshooting, win/loss processing, and project creation
  • Maintain process documentation and resources and identify opportunities to improve workflows, quality, consistency, and backup coverage
  • Maintain accurate client, engagement, team, and administrative records within firm systems and resources
  • Coordinate meetings, trainings, events, and other practice activities, including scheduling, materials, catering, ordering, and related logistics
  • Support contractor, time and expense, and other practice administration as assigned
  • Collaborate with administrative team members to provide cross-coverage and maintain continuity of support across the Advisory practice
  • Support implementation and adoption of new systems, tools, and processes, including workflow testing, issue identification, documentation, and knowledge sharing.
  • Perform other duties and special projects as assigned

To be successful in this role, the following qualifications are required:

  • High school diploma or equivalent
  • 5+ years of professional administrative experience, preferably in a corporate or professional services environment
  • Strong client service, written and verbal communication, interpersonal, and collaboration skills
  • Strong organizational skills, attention to detail, and ability to independently manage multiple priorities and deadlines
  • Demonstrated initiative, ownership, sound judgment, and problem-solving skills, including the ability to evaluate information, identify solutions, and determine when escalation is appropriate
  • Ability to learn and explain complex processes, share knowledge with others, and contribute to process improvement
  • Ability to work collaboratively across teams, practices, offices, and internal departments while providing consistent and responsive support
  • Ability to adapt to changing priorities, processes, and technology and contribute to process improvement and increased efficiency
  • Proficiency with Microsoft Office applications and Adobe Acrobat, with the ability to learn and firm-specific systems and technology
  • Ability to handle sensitive and confidential information with appropriate discretion
