About the opportunity
Beyond Borders Talent is recruiting an experienced Rostering Coordinator for an Australian aged care provider.
You will support and work in a rostering team responsible for coordinating services across approximately 300 clients and 80 support workers. You will help ensure clients are matched with suitably skilled workers and scheduled services are delivered reliably.
This is a high-volume role requiring strong problem-solving, accuracy and confidence managing cancellations, availability changes and urgent staffing gaps. You will communicate directly with internal teams, with potential to speak to clients, families and support workers.
You will also identify service risks, manage escalations, contribute to roster improvements and support consistent rostering practices across the team.
This is a stable, long-term opportunity for someone able to commit to the role for at least 18 months (please do not apply if looking for short term role).
Key responsibilities
• Prepare and maintain accurate staff rosters
• Match suitably skilled and available support workers with clients and shifts
• Fill vacant, cancelled and urgent shifts with minimal disruption to client care
• Manage availability, leave, schedule changes and shift replacements
• Communicate roster changes clearly to clients, families, workers and internal teams
• Maintain accurate client and support-worker records
• Support the onboarding and scheduling of new clients and workers
• Monitor documentation, compliance information and service changes
• Identify and escalate staffing or service-delivery risks
• Review roster patterns and recommend practical improvements
• Support consistent rostering practices across the team
• Assist less-experienced team members when required
• Protect confidential client and employee information
Essential experience and capabilities
• 3+ years of rostering, scheduling or workforce-coordination experience
• Hands-on experience in Australian aged care, disability or NDIS services
• Strong knowledge of support-worker rostering and client scheduling
• Experience working with a high volume of clients, workers and changing priorities
• Excellent attention to detail and roster accuracy
• Excellent spoken and written English
• Confidence communicating with Australian clients, families, workers and internal teams
• A proactive, calm and solutions-focused approach
• Sound judgement when managing urgent staffing gaps
• Ability to work independently in a remote environment while contributing to a team
• Reliable internet and a professional home workspace
• Availability to work Monday to Friday during Sydney business hours, including daylight-saving changes
A qualification in business administration, community services, health administration or a related field is desirable. Relevant industry experience will also be considered.
Highly regarded, but not essential
• The successful candidate will receive up to 3 months of structured training of Sandwai, the clients scheduling platform.
• Familiarity with the SCHADS Award, penalty rates and shift conditions
• Understanding of aged care compliance and documentation requirements
