The Impact You Will Make:
The AI and Automation Lead applies artificial intelligence to the work of course design and production, so that Academic Services can deliver a growing volume of courses without adding headcount for every increase in that volume. The role turns repetitive, rule-based work across course development, course refresh and new-instance set-up into reliable AI-assisted workflows that can operate at scale across multiple courses, subjects and production cycles.
This is a hands-on technical lead role working within the Director's AI roadmap. The role establishes and applies effective approaches for designing, testing and maintaining AI agents and automated workflows, helping build scalable AI and automation practices within Academic Services. This is a remote position that requires candidates to currently reside in Australia.
How You Will Bring Our Mission to Life:
What You Will Do:
- Builds and maintains AI agents that carry out defined course development and quality assurance tasks, using Microsoft Copilot Studio and the approved Microsoft 365 environment.
- Designs and tests the prompts and instructions that drive those agents, including encoding the team's written quality standards so the agent applies them consistently.
- Evaluates AI output against expert judgement before release, documents the accuracy achieved, and re-tests when standards or source material change.
- Builds repeatable automated workflows that connect AI output to the systems the team already uses, including Power Automate and scripting, so solutions can be reused across courses rather than built as one-off fixes.
- Establish practical standards and reusable approaches for AI and automation development, testing and documentation, helping ensure solutions are consistent, scalable and maintainable across Academic Services.
- Analyses manual processes to determine which are suitable for AI, which suit conventional automation, and which should stay with a person.
- Monitors AI-assisted workflows in production, including error handling, accuracy drift, throughput and updates when the underlying process changes.
- Documents how each agent and workflow operates so the team can use, troubleshoot and extend it without relying on one individual.
- Serve as a technical resource to learning designers and production staff, providing guidance and training on effective use of AI and automation tools and when AI output requires human review.
What Success Looks Like
- AI-assisted workflows produce output the team trusts without re-checking every item by hand.
- Manual, repetitive tasks are measurably reduced across course development, course refresh and new-instance set-up work.
- Agents and workflows run reliably in production without daily intervention.
- The team can use and troubleshoot the tools without depending on one person.
- Course volume can increase without a matching increase in headcount.
- Accuracy of AI-assisted output measured against expert review, with a documented threshold for release.
- Number of manual processes moved to AI-assisted or automated workflows and reused at scale across courses, refresh cycles or production workflows.
- Time saved per course refresh cycle, measured against a documented baseline.
- Documentation and training completed for every agent and workflow released.
What You’ll Bring to the Team:
Experience That Matters Most:
- At least 4 years of relevant experience in automation, technology, data, AI, or related technical roles, including hands-on experience building and deploying solutions in a business environment.
- Must reside in Australia.
- Demonstrated experience building working applications of artificial intelligence in a business setting, with examples of tools delivered and in active use.
- Practical skill in prompt design and testing, including getting consistent, reliable output from large language models.
- Ability to evaluate AI output for accuracy and to judge when it is not fit for release.
- Working knowledge of Microsoft Power Automate and the Microsoft 365 environment.
- Scripting ability, for example Python, sufficient to process and manipulate structured documents and data.
- Ability to document and hand over technical work so that others can maintain it.
- Experience establishing technical standards, reusable approaches, or best practices for AI and automation solutions.
Experience That’s Great to Have:
- Bachelor’s degree in technology, computer science, data/analytics, or a related field, or equivalent practical experience.
- Experience with Microsoft Copilot Studio or comparable agent-building platforms.
- Experience applying artificial intelligence within a governed enterprise environment rather than open consumer tools.
- Experience working in education, learning design or course production.
- Experience training non-technical colleagues to use and critically assess AI tools.
