Operating across Australia and the United States, the business runs a lean specialist team with multiple products, clients, and projects moving simultaneously in a fast-paced environment.

💼 About the Role

This is a high-impact operational role for an AI-native professional who acts as the "finisher" to the founder's "visionary." You will own projects end-to-end, coordinate specialist contractors, build repeatable systems, and leverage AI/automation to eliminate manual friction. Traditional calendar and travel booking are largely handled by AI systems, allowing you to focus on high-value execution, project momentum, and operational enablement.

🎯 Key Responsibilities

• 🚀 Project Management & Execution: Own end-to-end execution on internal projects, monitor deliverables across contractor teams, and maintain momentum without constant founder oversight.

• 🤖 AI Systems & Workflow Automation: Redesign repetitive or unstructured processes using AI (ChatGPT, Claude); build reusable prompts and automated workflows for data extraction, file parsing, and batch processing; thoroughly QA all outputs.

• 🛠️ Internal Team Hub & Enablement: Serve as the primary point of contact for internal team support, removing operational roadblocks before issues escalate.

• 📂 Process Systematization & Admin: Handle sensitive admin items (banking records, contract tracking, Google Drive file management) and document workflows into clean SOPs.

• ✉️ Delegated Correspondence: Draft and manage selected emails on the founder's behalf requiring operational judgment, stakeholder coordination, and persistent follow-through.

• 📱 Content & Social Media Coordination: Oversee LinkedIn distribution by using AI to transform founder ideas, podcasts, or transcripts into structured posts paired with visual assets.

✅ Qualifications & Skills

⭐ Non-Negotiable Requirements:

• Advanced LLM & Data Handling: Hands-on experience using ChatGPT, Claude, or similar LLMs for advanced data extraction, data cleaning, and workflow design (far beyond simple text generation). High confidence with spreadsheets, CSVs, and unstructured data.

• Independent Execution: Comfortable taking imperfect or loose ideas and independently shaping them into executable plans with high accountability.

• Resourceful Problem-Solving & QA: Ability to find clever workarounds, test limits, and meticulously verify AI outputs for precision.

• Project & Stakeholder Management: Proven track record of keeping remote teams accountable and driving multi-step workflows to completion.

• Communication: Exceptional written and spoken English skills with sharp operational judgment.
