Applicant Document Receipt Assistant
Office Administration | Applicant Documents | Remote | Full-time or part-time | 24.75–26.50 per hour
A candidate sends a requested document. The recruiting team needs to know it arrived, whether the correct file is attached, and who should review it. This remote role handles that administrative handoff. The Applicant Document Receipt Assistant maintains online applicant records, sends simple receipt acknowledgements, and notes incomplete submissions. You will not judge qualifications, verify credentials, or decide whether a person should be hired.
A respectful document process
Candidates may be unsure whether a file uploaded correctly. Check the applicant's assigned record and the employer's document request before sending a confirmation. An attachment with the right filename may still be unreadable; use the team's inspection checklist. If the document appears to contain unnecessary personal information, do not circulate it outside the approved system. If the requested item is absent, ask for it in clear language without implying the applicant has failed the selection process.
Different openings may use different checklists. A resume and a certification are not interchangeable just because both are PDFs. Keep the status tied to the actual role and stage. If a candidate sends a revised version, make it clear which file is current under the employer's process. Office administration keeps the file organized; customer service keeps the candidate informed without unnecessary anxiety.
Duties
Read assigned online upload notifications or email submissions. Match documents to the correct applicant and opening. Check for required files and basic readability.
Record received and outstanding items using the supplied checklist. Send standard receipt or missing-file messages when permitted. Flag a mismatch, duplicate, or unexpected sensitive file for review.
Keep files in the approved applicant system and observe access rules. Provide a concise handoff to the recruiter responsible for review.
You can begin without recruitment industry experience. Customer service, office administration, document filing, or careful online form work are all useful backgrounds. Training will cover the applicant system, privacy rules, and checklists. You need patience with details, clear written communication, and the judgment not to interpret a document that a qualified reviewer must assess.
A private home office or suitable alternative helps protect candidate files. The hiring company will specify equipment and actual hours.
If a file arrives close to a stated deadline, record when the system actually received it and let the recruiter interpret any timing requirement. Do not quietly change the timestamp or imply that a late document will be accepted. A candidate who cannot open the upload page may need an approved alternative route; explain only the options the employer has provided. A clear receipt message can reduce repeated submissions and help the recruiting team find the current version.
An applicant may send a document in a second email with no reference in the subject. Use the approved identifiers to connect it to the right application before marking the checklist complete. If a file will not open or appears to belong to a different person, stop and use the privacy route. Receipt means the file arrived; it does not mean a hiring manager has reviewed or accepted it. Keep that distinction clear in the status shown to the recruiting team.
You do not need previous recruiting work to manage this introductory process. Experience checking school forms, volunteer records or customer attachments can demonstrate accuracy. The employer will train you on the online applicant system, file naming and escalation procedure. Written follow-up should ask for the particular missing item without requesting extra personal information. A private home office helps you handle applicant records with care during remote work.
For consideration
Show how you have tracked documents or communicated about a missing item without creating confusion. Experience can be from education, volunteer activity, or paid work. Prior recruiting employment is a plus, not a requirement. If the hiring team moves your application forward, it may send you to its website for a further application. The recruiter will explain the file types and review boundaries at the next stage.
