Overview The Approved Training Programs Intake Coordinator provides administrative and operational support for trainer and training organization intake, evaluation, approval, renewal, and related quality management system activities. This role reviews submissions for completeness, coordinates follow-up, maintains accurate and audit-ready records, tracks required updates, and supports timely communication with internal and external stakeholders. The coordinator helps ensure a consistent, responsive, and well-documented intake experience across ISACA’s global training network. Responsibilities Receive, organize, and review trainer and training organization applications, activity reports, qualifications, and QMS materials for completeness; identify missing, outdated, unclear, or inconsistent information; and coordinate follow-up using approved templates and guidance. Track applications, QMS submissions, open items, partner responses, training activity, learner feedback, corrective actions, required updates, outcomes, routine reports, status updates, templates, checklists, procedures, trackers, and standard communications to support accurate program visibility and follow-through. Communicate requirements, deadlines, status updates, and next steps to trainers, training organizations, evaluators, and internal teams to support timely and consistent intake processing. Prepare intake summaries, organize case materials, and coordinate documentation, scheduling, and communications required for evaluations, approvals, renewals, and reapprovals. Maintain accurate, confidential, and audit-ready records in the CRM and other program systems. Support readiness activities for new or updated products, course content, and job practice changes by tracking required updates, coordinating materials, supporting related communications, monitoring progress, and escalating technical questions, delays, quality concerns, or other non-routine matters to the appropriate evaluator or program owner. Identify process improvements, cross-train across assigned program areas, provide coverage as needed, and follow applicable privacy, confidentiality, information security, and record-retention requirements. Qualifications Required Field of Study: Associate degree in business administration, operations, communications, education, quality management, compliance, or a related field, or an equivalent combination of education and relevant experience. Minimum Years of Experience Required: 1+ years of relevant experience, or an equivalent combination of education, training, and demonstrated skills. Description of Minimum Relevant Experience Required: Experience organizing and reviewing applications, reports, records, or supporting documentation for completeness. Ability to follow established procedures, templates, checklists, and escalation paths. Ability to manage multiple deadlines, tasks, and follow-up activities with strong attention to detail and organization. Professional written and verbal communication skills. Ability to maintain accurate, confidential records and escalate non-routine matters appropriately. Working knowledge of Microsoft Office, Teams, SharePoint, or similar tools, with the ability to learn CRM, workflow, reporting, and document-management systems. Ability to collaborate effectively with internal and external stakeholders. Preferred Field of Study: Bachelors Degree in business administration, operations, communications, education, quality management, compliance, or a related field, or an equivalent combination of education and relevant experience. Preferred Years of Experience: 2+ years of experience in program coordination, training operations, quality assurance, compliance, partner support, or a related area. Description of Preferred Relevant Experience: Experience supporting training, professional association, partner, or global sales operations. Experience coordinating applications, evaluations, approvals, renewals, readiness activities, summaries, trackers, reports, or dashboards. Experience reviewing qualifications, training activities, or quality documentation for completeness. Experience using CRM, workflow, reporting, or document management systems. Experience working with stakeholders across countries and cultures; familiarity with quality-management principles or documentation practices is helpful but not required. Competencies/Skills Required: Attention to detail, follow-through, organization, and time management Professional partner support and clear written and verbal communication Accurate recordkeeping, process adherence, sound judgment, and appropriate escalation Collaboration, adaptability, continuous improvement, confidentiality, and cultural awareness Proficiency with standard business and workflow tools This position may require periodic onsite attendance, either currently or in the future, based on business needs. Occasional travel may also be required to attend company-sponsored events, meetings, all-hands gatherings, training sessions, or other activities necessary to support the essential functions of the role.
