What you'll be doing: The primary function of the Deductions Administrator is to ensure accurate and timely resolution of customer deductions and disputes that arise from short paid invoices posted by the Accounts Receivable team. You will be responsible for managing a portfolio of deductions tracked in the trade promotions management (TPM) system, with a majority of the deductions relating to marketing and trade spending, while other deductions typically relate to various non-trade deduction types such as pricing, shipping discrepancies, quality issues, compliance, or handling fees. In this role you will be collaborating with multiple business partners both internally and externally to confirm that proper authorization is received, along with sufficient documentation to support the customer claims. Please have excellent communication and problem solving skills, with the ability to multi-task in a fast-paced environment. ESSENTIAL RESPONSIBILITIES : Research and process deductions tracked in the Exceedra TPM System. Split up and classify deductions as either trade or non-trade types. Assign deductions to responsible parties according to established workflow. Ensure that appropriate backup is attached to each deduction claim in Exceedra. Obtain missing support from customer web portals or directly from customers or brokers. Monitor status and workflow of open deductions & follow up on a regular basis. Prioritize deductions by dollar value, age, and deduction type. Follow up on deduction claims if further information is requested from sales reps. Coordinate research with stakeholders to properly assess deduction as valid or invalid. Obtain proof of delivery to confirm accuracy of shortages, mis-ships, or damage claims. Review spoils deductions with sales and quality control to determine if credit is eligible. Research pricing deductions with Customer Relations or Sales and follow up with A/R to process sales adjustments if needed. Seek repayment of invalid deductions and pursue collection of payback requests. Monitor weekly check requests submitted in Exceedra for trade payments to customers. Ensure check requests include valid proof of performance and accurate payee details. Collaborate with A/R team members to research unapplied cash or other discrepancies. What we are seeking: Associate’s degree in accounting, business or related discipline is preferred. Minimum of 2 years’ experience in accounts receivable, deductions or general accounting in lieu of degree. Familiar with CPG or food manufacturing companies is a plus. Excellent organizational & time management skills, with the ability to prioritize tasks. Professional communication and people skills are essential, written and verbal. Ability to multi-task while maintaining detailed and accurate records. Self-motivated and able to work independently, as well as working collaboratively in a team environment to achieve common goals. Willingness to be flexible and adapt to process changes that increase efficiency. Eager to take on new challenges with a positive outlook. Proficient computer and data entry skills with base knowledge of MS Office applications. Basic knowledge of Excel spreadsheets is desirable.
