ABOUT THE ROLE

Commonpoint is seeking a Part-Time Impact & Learning Assistant to provide administrative, data, research, and project support to the Impact & Learning Division. Reporting to the Assistant Vice President of Impact & Learning, the Assistant will help support the day-to-day coordination of the division while contributing to projects related to data and insights, research and evaluation, organizational learning, and impact.


The Assistant will support data entry and organization, survey collection and outreach, research and evaluation activities, scheduling and meeting coordination, document and file management, and event logistics. The role will also help maintain shared departmental systems and use technology and approved AI tools to improve organization and team efficiency.


ROLE RESPONSIBILITIES

Impact, Research & Evaluation

● Provide data entry and data clerk support for departmental and agency-wide projects.

● Organize, clean, and maintain spreadsheets, trackers, survey records, and other data files.

● Support research and evaluation projects through basic data collection, information gathering, and project coordination.

● Conduct survey outreach and follow-up with participants, community members, and staff to support strong response rates.

● Assist with collecting, scanning, digitizing, and organizing paper surveys and other evaluation materials.

● Support departmental data projects and other special projects as assigned.


Division & Administrative Support

● Coordinate scheduling for meetings, project activities, interviews, focus groups, and other division needs.

● Monitor and help organize the division’s shared Impact & Learning email account, including routing requests and tracking follow-up items.

● Take clear meeting notes and help document decisions, action items, and next steps.

● Assist with preparing documents, meeting materials, agendas, presentations, and other resources.

● Provide occasional on-site support, including picking up surveys, documents, or materials from Commonpoint locations.


Organization & Knowledge Management

● Maintain organized shared drives, folders, documents, templates, and departmental resources.

● Help establish consistent file naming, documentation, and recordkeeping practices.

● Support the organization and maintenance of departmental project trackers and resources.

● Use approved AI and digital tools to improve administrative processes, organize information, summarize materials, and increase team efficiency while following agency confidentiality and data privacy practices.


Meetings & Event Support

● Assist with the coordination and setup of meetings, trainings, presentations, focus groups, and division events.

● Help order, organize, and prepare materials and supplies.

● Support attendance tracking, registration, materials distribution, and other event logistics as needed.


Team Collaboration

● Participate in Impact & Learning team and department meetings, supervision, and relevant planning meetings.

● Collaborate with members of the Impact & Learning Division across projects and priorities.

● Communicate professionally with staff, participants, community members, and other stakeholders.

● Provide flexible project and administrative support as division priorities evolve.


QUALIFICATIONS & KEY ATTRIBUTES:

MINIMUM QUALIFICATIONS:

● High school diploma or equivalent required; current college students and recent graduates are encouraged to apply.

● Strong organizational skills and attention to detail.

● Comfort working with Google Workspace, particularly Google Sheets, Docs, Drive, and Gmail.

● Ability to manage multiple assignments and follow through on deadlines.

● Strong written and verbal communication skills.

● Comfort learning new technology, databases, AI tools, and administrative systems.

● Ability to handle sensitive information with discretion and maintain confidentiality.

● Interest in nonprofit work, data, research, evaluation, education, organizational learning, or related areas preferred.


Position Details

This is a part-time, hybrid position working approximately 15–19 hours per week at $18.50 per hour. The position will include a combination of remote work and in-person responsibilities based on division and project needs, including occasional travel to Commonpoint sites.
