Overview

McGuireWoods LLP is seeking a Lateral Attorney Recruiting Assistant to join our Chicago office. This role supports the day-to-day execution of lateral attorney recruiting efforts, including partnering with recruiting managers, recruiting specialists, attorneys, search firms, and candidates to deliver an efficient and seamless recruiting experience. This role coordinates interview scheduling, manages candidate communications, maintains recruiting systems and data, and provides comprehensive administrative support across all stages of the hiring process for assigned searches.

Responsibilities

  • Coordinate all lateral attorney interview scheduling, prepare itineraries and candidate packets, and communicate logistics to all stakeholders.
  • Serve as a professional, confidential point of contact for candidates, attorneys, search firms, and internal teams.
  • Prepare offer materials, candidate correspondence, and onboarding documentation.
  • Maintain applicant tracking systems, recruiting databases, and candidate files; support preliminary application review and update candidate statuses as directed
  • Coordinate new hire documentation and orientation logistics with HR and other departments.
  • In partnership with the firm’s travel agency partner, arrange candidate travel, accommodations, and meals; process expense reimbursements, invoices, and vendor payments.
  • Prepare reports, spreadsheets, presentations, and other materials as requested.
  • Partner with HR, Professional Development, Finance, Marketing, and other teams on recruiting activities and special projects.
  • Identify and implement opportunities to enhance administrative workflows and operational efficiency.
  • Thrive in a fast-paced, high-volume environment requiring strong prioritization, organization, and proactive communication within a collaborative team.

Qualifications

  • High school diploma or GED required; associate's degree or bachelor's degree preferred.
  • Two or more years of administrative experience, preferably supporting recruiting, human resources, legal, or professional services functions.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational, project management, communication, analytical, and relationship-building skills.
  • Sound judgment and discretion with the ability to maintain confidentiality and deliver exceptional customer service.
  • Demonstrated initiative, adaptability, and a proactive approach to problem-solving.
  • Collaborative team player with the ability to build effective working relationships with recruiters, attorneys, candidates, and professional staff.
