Assistant Project Manager

Coordinate project schedules, resources, and information. Liaise with clients to identify and define project requirements, scope, and objectives. Maintain risk and issue logs and supporting the implementation of mitigation measures. Liaise with contractors, designers, and statutory stakeholders to keep projects moving. Support procurement and contract administration activities. Ensure projects comply with relevant health, safety, quality, and environmental requirements. Budget Management: Assist in the preparation and management of project budgets. Monitor expenditures and ensure adherence to financial plans. Prepare financial reports and forecasts. Document Control: Maintain and update project documentation, including plans, reports, and contracts. Ensure all documents are stored and managed according to company policies. Facilitate document reviews and approvals. Team Coordination: Coordinate and schedule meetings, workshops, and other project-related events. Communicate with team members to ensure alignment on project goals and deliverables. Support the project team by facilitating communication and resolving issues. Reporting and Communication: Prepare and distribute project updates and status reports. Ensure effective communication with all stakeholders. Support the development of presentations and reports for management. Use ERP to support project controls and reporting. Testing, Commissioning and Assurance (Desirable): Support the coordination and tracking of testing and commissioning activities across project phases. Assist in reviewing test plans, test procedures, and test results to ensure alignment with project requirements. Coordinate with contractors, designers, and stakeholders to support test readiness and issue resolution. Monitor and report on testing progress, outstanding defects, and close-out activities. Review testing records, certification documentation, and evidence of compliance. Contribute to lessons learned and continuous improvement initiatives arising from testing and commissioning activities. Bachelor’s degree in Project Management, Business Administration, or related field. Proven experience as a Project Coordinator or similar role, ideally in the Rail industry. Strong knowledge of project management methodologies and tools. Excellent organizational and multitasking abilities. Proficiency in MS Office and project management software (e.g., MS Project, Trello). Strong communication and interpersonal skills.
