Salary Range: $52,000.00 To $60,000.00 Annually This role is Remote The Assistant Registrar for Systems and Technology is responsible for the accuracy, integrity, and security of student records and data systems within the Office of Records and Registration. The role serves as a technical resource for the student information system, manages official external reporting obligations, supports end-of-semester processing, and partners with institutional departments to ensure student data is accurate, accessible, and compliant with applicable privacy and regulatory requirements including FERPA. __________________________________________________________________________________________ KEY ACCOUNTABILITIES External Reporting & Compliance • Prepare and submit official reports to external agencies including the National Student Clearinghouse and the Pennsylvania State Department of Education, ensuring accuracy, thorough documentation, and compliance with applicable reporting standards. • Maintain student records in compliance with FERPA, institutional privacy standards, and data security requirements. Systems Support & Training • Provide comprehensive support to staff using the student information system, including training, navigation assistance, and resolution of technical issues. • Develop and deliver ongoing training for staff on student information system features, updates, and best practices in student data management. • Stay current on emerging practices in student data management, system functionality, and higher education technology trends. Reporting & Data Management • Develop and generate a variety of institutional reports in support of academic, administrative, and compliance needs. • Manage end-of-semester recalculations, registration setup, and associated student notifications to ensure timely and accurate processing. • Maintain the accuracy, security, and confidentiality of student records while implementing streamlined processes to enhance data management efficiency. Collaboration & Communication • Collaborate with the Registrar and other departments to ensure student data is accurate, secure, and readily accessible to authorized users. • Assist with developing and maintaining the communication plan for the Records and Registration office. • Communicate technical information and system processes clearly and effectively to non-technical audiences across the institution. __________________________________________________________________________________________ EXPECTATIONS OF ALL STAFF • Apply best efforts and full capability each day to the work assigned by their manager. • Advise the manager when: o An assignment is not understood. o An assignment conflicts with knowledge of the circumstances, current skills, or available time/resources. o Obstacles to completing the assignment exist or are likely to occur. o Opportunities to better complete or improve the assignment exist or may occur. • Understand and demonstrate our cultural expectations. _______________________________________________________________________________________ MINIMUM ROLE REQUIREMENTS • Bachelor's degree in a related field required, or equivalent work experience, such as one to three years of experience in a records and registration office with a focus on reporting and records management. • Experience working in higher education, preferably within a registrar's office. • Proficiency in student information systems, preferably Jenzabar or Stellic. • Experience with reporting tools such as Infomaker, Power BI, and Microsoft SQL Server Management Studio. • Strong understanding of database management principles and data reporting practices. • Proficiency in data analysis and visualization techniques. • Excellent analytical and problem-solving skills with strong attention to detail. • Ability to communicate technical information clearly and effectively to non-technical audiences. • Strong commitment to the accuracy, security, and confidentiality of student records in compliance with FERPA and institutional data standards. __________________________________________________________________________________________ WORK HOURS The university work week is Sunday through Saturday. Most employees are expected to work within the core hours of 8:00 am to 5:00 pm, Monday through Friday. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings, and may be required to work overtime.
