General Job description Day-to-day tasks within the operational goals and standards area with direct and long-term impact on the field travel management. Planning and coordination of travel support related problem solving by updating and modifying existing working methods and improve the quality of master data. Role and Responsibility: Coordinate with Travel Management Companies (TMCs), airlines, hotels, and other vendors to ensure smooth travel arrangements and issue resolution. Monitor and ensure compliance with the organization’s Global Travel Policy; identify non-compliant bookings and recommend corrective actions. Analyse travel spend data to identify cost-saving opportunities, trends, and areas for process improvement. Support Travel & Expense (T&E) processes, including expense tool assistance (e.g., Emburse/Concur), invoice validation, and reconciliation. Handle travel-related queries and provide timely support to employees across regions. Assist in supplier management, including performance tracking, SLA monitoring, and vendor negotiations support. Contribute to hotel sourcing activities such as RFP processes, rate analysis, and contract support. Work with automation tools (RPA) to streamline processes such as invoice handling, reporting, and reminders for overdue expenses. Prepare and maintain travel reports, dashboards, and MIS for management review. Collaborate with internal stakeholders (HR, Finance, Procurement) to improve travel processes and user experience. Support audits by ensuring proper documentation, compliance, and adherence to internal controls. Assist in developing and delivering travel-related training sessions and user guides for employees. Maintain and update travel-related content on internal platforms (e.g., SharePoint). Participate in global or regional travel initiatives and projects as assigned by the Travel Category Manager. Awareness of ISO 14001 and 45001 standards. Technical Competence E-Sourcing Tools, Ariba, SAP knowledge preferred. Knowledge of RFP Process Management, Procurement master data and related processes Knowledge of process improvement and automation is an advantage Any other ERP or related system knowledge is an advantage Excellence knowledge of Microsoft tools (Excel, Word, PPT, Power App, Teams and SharePoint as example) PMP /GBTA GBTA Certified Travel Expert (CTE) preferred Functional & Behavioral Skills Experience in handling global stakeholders and supporting global organization Problem solvers, who are flexible and creative in finding solutions Strong quantitative skills with ability to successfully manage multiple tasks Strong communication with networking skills Knowledge on supply chain management Self-starters, self-motivated and can work with minimal direction Positive attitude with quality mindset & team player Excellent oral and written communication skills Compelling and persuasive communicator with excellent interpersonal skills Ability to establish organizational objectives and relevant metrics Ability to draw strategic insight from analysis, and to effectively summarize and present insight based on the needs of the audience Management experience in both small and large corporate environments Accountable, takes responsibility Experience giving presentations to senior executives Strong influence/negotiation skills High attention to detail & results oriented with timelines.
