The Opportunity:
As a Wealth Management Associate, you'll play a central role in supporting our advisers, managing client operations and helping deliver an exceptional client experience.
From preparing financial planning documentation and liaising with pension and investment providers, to supporting compliance and improving internal processes, you'll gain hands-on exposure to every aspect of running a modern wealth management firm.
As the business grows, so too will your responsibilities and opportunities.
Key Responsibilities:
Client Relationship Management
- Prepare client review meeting packs, reports and supporting documentation
- Prepare Statements of Suitability (SOS) and recommendation documents
- Coordinate meeting follow-ups and agreed client actions
- Deliver a first-class client experience throughout the advice process
Wealth Management Operations
- Process pension, investment and protection applications
- Prepare quotations, provider illustrations and application documentation
- Produce risk profiling reports and client questionnaires
- Liaise with life companies, pension providers and investment platforms
- Manage transfers, Letters of Authority, changes of address and other client servicing requests
- Track applications through to completion and keep advisers informed
- Maintain accurate client records across internal systems
Compliance & Quality Assurance
- Client files remain accurate, complete and compliant
- Documentation meets internal quality and regulatory standards
- Client records are maintained in accordance with Central Bank requirements
- Internal compliance procedures are consistently followed
- Files are prepared for periodic compliance reviews and audits
Business Operations
As a growing business, everyone contributes beyond their job title. You'll also support projects including:
- Improving internal systems and workflows
- Implementing new technology and automation
- Building scalable operational processes
- Enhancing the client experience
- Supporting business development initiatives
- Helping shape the future growth of VCM
About You:
Essential
- Approximately 2-3 years' experience in administration, operations or client support
- Exceptional organisational skills and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proactive, dependable and eager to learn
- Comfortable working within a regulated environment
- Genuine interest in financial services and wealth management
- Proficient in Microsoft 365, including: Excel, Word, PowerPoint, SharePoint, Outlook, Teams
Desirable
- Experience within financial services, wealth management, pensions, banking, insurance or another professional services environment
- Familiarity with financial planning and wealth management processes
- Experience using CRM systems (particularly OA Life CRM and Monday)
- Experience using Voyant, ClearChoice and/or Fund Focus
- Familiarity navigating life company portals, preparing quotations and processing applications
- Working towards, or interested in studying for, the Qualified Financial Adviser (QFA) qualification

Interview Process:
We aim to keep our recruitment process straightforward and transparent.
Stage 1 - Screening Interview (30 minutes)
- Virtual interview with the Manager of Client Development
- An opportunity to learn more about Vivus and discuss your background and career aspirations
Stage 2 - Technical Interview (30-45 minutes)
- Virtual interview with the Hiring Manager
- A discussion around your experience, problem-solving ability and approach to client service, organisation and compliance
Stage 3 - Final Panel Interview (60 minutes)
- In-person interview at our Kildare Street office
- Meet the Managing Director alongside your previous interviewers and discuss how you could contribute to the next stage of VCM's growth
