Do you know what happens when a CPI rent review is keyed in wrong, or when an outgoings reconciliation doesn’t balance against the invoices behind it?
We’re placing a Property Management Administrator for an established Australian commercial and residential property management business. You’ll work fully remote from the Philippines on Australian business hours, supporting a team of property managers across a live portfolio — actioning rent reviews, preparing outgoings reconciliations, issuing recharge invoices, and keeping tenant, owner and lease records accurate from the day a property comes on.
This is commercial lease administration, not general real estate admin. Rent reviews, recoverable outgoings and tenant recharges are the core of the job, so it suits someone who already understands what a lease is telling them to do and can act on it without being walked through each step.
You’ll build genuine Australian commercial property experience — CPI, fixed and market reviews, outgoings reconciliations, GST on recharges — the kind of lease-side depth that is far scarcer than residential property admin and takes your career well beyond general VA work. You’ll do it inside established processes with property managers who are there to answer questions.
What you’ll be doing
• Action CPI, fixed and market rent reviews in the property management system, and keep tenant ledgers and records current
• Prepare and send arrears notices, and follow up overdue accounts with the property managers
• Set up new tenants, owners and properties in the system — lease details, contacts, ownership and payment settings, across both residential and commercial
• Generate recharge invoices to tenants for outgoings and other recoverable costs
• Prepare outgoings reconciliations and collate the supporting invoices into a spreadsheet for review
• Keep insurance policy details updated and accurate in the system
• Work directly with the property managers on tasks, approvals and queries through the day
Requirements
• At least 2 years of property management administration experience
• Hands-on experience with commercial lease administration — rent reviews, outgoings and recoverable expenses
• Experience setting up leases, tenancies and properties in a property management system
• Strong Excel — you’ll build reconciliations and collate invoice schedules, not just enter data
• Accurate, careful work on every lease, ledger and invoice — the numbers have to be right
• Clear written English for daily correspondence with property managers
• Available Monday to Friday, 6:00 AM – 3:00 PM PHT
• Reliable home internet and a dedicated workspace
Nice to have
• Experience supporting Australian property managers
• Hands-on experience with Re-Leased
• Experience with MRI, Yardi, Cirrus8, PropertyTree or REST Professional
• Experience preparing outgoings reconciliations for Australian commercial properties
• Familiarity with Australian GST on recharges and outgoings
• A background spanning both residential and commercial portfolios
