About the role:

At Vantage, the AVP, Director of Legal Operations will play a critical role in driving the efficiency, organization, and scalability of our Legal function. Reporting to the General Counsel, this position is responsible for managing legal operations, knowledge management, vendor and law firm administration, budgeting and reporting processes, legal technology platforms, and department-wide project management initiatives. This is a hybrid opportunity based in our New York City office and is ideal for a proactive, resourceful professional who thrives in a fast-paced, growth-oriented environment and enjoys building scalable solutions from the ground up.

The base salary expectation for this role is between $150,000 and $185,000. Responsibilities & Accountabilities:

  • Maintain a strategic knowledge management plan for the Legal department. This includes processes, procedures, and best practices for storage of electronic documents and contracts as well as establishing a knowledge repository of templates, forms, counseling logs, guidance materials and checklists, presentations and other knowledge assets and other work product.
  • Implement and maintain processes, procedures and best practices related to law firm and other third-party management, including with respect to billing.
    • Assist with preparation and monitoring of annual legal and compliance budget, financial planning and reporting, and legal bill processing. This includes interfacing with Finance for budgeting, forecasting, and monitoring of actual performance against budgets and forecasts.
    • Assist with implementation of an e-billing system.
  • Provide support, monitoring, and tracking with respect to legal and compliance requirements and filings.
  • Provide support with respect to tracking and logging commercial and contractual obligations including NDAs as well as vendor contracts and related vendor diligence; and coordinate collection and reporting of quarterly legal vendor accruals.
  • Coordinate department meetings.
  • Coordinate logistics for legal offsites from time to time.
  • Complete ad-hoc and special projects as requested/needed.
  • Assist in efforts to improve current processes and identify new processes, technology system enhancements, and shared best practices that improve overall Legal operational effectiveness.
  • Implement/manage department metrics, benchmarking, and reporting.
  • Design impactful department communications; formats include PowerPoint slides, Quick Reference Guides, SharePoint sites, and emails.
  • Design methods to ensure efficient project management for various team initiatives.
  • Assist with selection of and act as administrator of legal technology platforms, which can include conducting an RFP and creating scorecards to evaluate potential vendors.

Ideal Candidate Profile:

  • Bachelor’s degree or equivalent professional experience required.
  • 7-10 years of legal operations experience required.
  • Excellent judgment and ability to handle sensitive and confidential information.
  • Superior teamwork skills.
  • Expertise in legal knowledge management, e-billing platforms, process improvement and project management concepts, solutions, and services.
  • Ownership of quality work product and timely product delivery.
  • Ability to work independently and prioritize effectively.
  • Experience developing strategic or departmental planning materials that require consensus gathering from multiple constituents.
  • Ability to interact with all levels of employees and stakeholders, and to communicate complex concepts simply, clearly, and effectively.
  • Ability to process and adapt to change in a rapid growth company environment. Vantage associates are expected to be curious, thrifty, and resourceful to manage through the unknowns of growing a specialty (re)insurance business from the ground up.
