Summary The Post-Closing Loan Servicing Specialist is responsible for the accurate and timely administration of post-closing activities for SBA loans. The position supports the loan portfolio from funding through ongoing servicing by processing authorized disbursements, maintaining complete and audit-ready loan files, monitoring documentation requirements, collecting borrower financial information, and coordinating with internal business partners and external parties. The role helps protect the bank's interests by ensuring servicing activities are performed in accordance with approved loan terms, bank policy, applicable regulations, and SBA requirements. Responsibilities Post-Close Disbursements and Funding Administration Process and document post-close loan disbursements, advances, construction draws, and other authorized funding requests in accordance with approved loan terms, use-of-proceeds requirements, and established controls. Review supporting documentation before disbursement, including invoices, budgets, inspections, lien waivers, title updates, equity injection evidence, and other applicable conditions. Coordinate with borrowers, relationship managers, loan officers, attorneys, title companies, construction consultants, and other service providers to resolve funding conditions and facilitate timely disbursement. Maintain clear disbursement records and reconcile activity to the core system, loan documentation, and approved sources-and-uses requirements. Identify exceptions, documentation gaps, unusual activity, or potential compliance concerns and escalate them to the appropriate manager. Loan File Maintenance and Post-Closing Review Maintain organized electronic and, when applicable, physical loan files throughout the servicing lifecycle. Track and clear post-closing exceptions, trailing documents, recorded instruments, final title policies, insurance evidence, collateral documents, lien perfection items, and other file deficiencies. Coordinate document recording and filing with applicable counties, states, agencies, and third-party providers, and verify evidence of recording and lien position. Update loan systems, ticklers, document repositories, and servicing notes to reflect current status, outstanding requirements, and completed follow-up. Process routine servicing requests such as collateral releases or substitutions, payoffs, lien releases, payment changes, advances, and loan modifications within delegated authority. Financial Statement and Document Collection Monitor recurring financial reporting requirements and collect required borrower, guarantor, affiliate, and collateral-related documents, including business and personal financial statements, tax returns, interim statements, annual statements, rent rolls, borrowing-base certificates, insurance renewals, and other required reporting. Communicate directly with clients and external representatives to request missing, updated, or corrected documents and provide clear submission instructions and due-date reminders. Coordinate internally with relationship managers, portfolio managers, credit, underwriting, loan administration, and servicing personnel to obtain documents, clarify requirements, and resolve deficiencies. Review received documents for completeness, correct reporting period, signature, date, and consistency with the applicable loan or tickler requirement before clearing the item. Maintain an accurate follow-up history and escalate overdue, incomplete, or noncompliant reporting items in accordance with bank procedures. Compliance, Quality Control, and Audit Support Maintain servicing compliance with applicable bank policies, loan documents, regulatory requirements, and SBA Standard Operating Procedures. Ensure servicing actions remain consistent with approved terms, collateral requirements, lien priorities, eligibility conditions, and permitted uses of loan proceeds. Prepare and provide requested documentation for internal reviews, external audits, regulatory examinations, SBA reviews, and loan file testing. Assist with responses to audit findings and support corrective-action tracking to reduce repeat exceptions and exposure to loss or litigation. Protect confidential borrower and bank information and follow established information-security and records-retention requirements. Collaboration and Process Improvement Collaborate with loan officers, relationship managers, processors, underwriters, credit personnel, and loan administrators to support accurate servicing and a consistent client experience. Provide guidance to internal partners regarding post-closing documentation, servicing requirements, file standards, and follow-up expectations. Participate in training, cross-training, procedure updates, system testing, automation initiatives, and continuous-improvement projects. Contribute ideas that improve loan quality, operational efficiency, reporting, controls, and the borrower experience. Perform other job-related duties as assigned. Requirements Minimum 5 years of experience in loan servicing, loan operations, commercial lending, SBA lending, loan processing, or a related financial-services role. Working knowledge of post-closing loan administration, document tracking, payment processing, collateral documentation, and file maintenance. Ability to interpret loan documents, approval terms, servicing requirements, and supporting financial documentation. Proficiency with Microsoft 365 applications and the ability to learn and work effectively in loan origination, core banking, customer relationship management, and document-management systems. Strong attention to detail, organizational skills, follow-through, and the ability to manage multiple deadlines and recurring requirements. Professional written and verbal communication skills for interaction with clients, internal partners, attorneys, title companies, agencies, and other external parties. Ability to exercise sound judgment, recognize risk, protect confidential information, and escalate matters appropriately. Preferred Qualifications Experience servicing SBA 7(a) and/or 504 loans, including construction, renovation, or leasehold-improvement transactions. Familiarity with SBA authorization terms, use-of-proceeds restrictions, collateral and lien requirements, disbursement controls, and servicing actions. Experience with Salesforce, nCino, or comparable lending platforms. Experience supporting audits, examinations, quality-control reviews, and exception remediation. Comfort adopting AI-assisted tools, workflow automation, and evolving technology to improve servicing processes.
