This position has a term length of 3 years from the date of hire. Location - This role is hybrid, with a mix of remote and in-person work. Work primarily takes place at North Campus, Edmonton. The Awards Assistant plays a key role in supporting the administration of graduate awards and scholarships, helping deliver programs that recognize and support graduate students' academic excellence. Reporting to the Team Lead, Awards, this position contributes to the administration of more than 700 awards annually and provides administrative and event support to the Graduate Awards and Scholarship Services team. This role coordinates award-related events, supports scholarship competitions, manages inquiries through the Awards team's service portal, and provides exceptional service to students, faculty, and internal partners. The successful candidate is highly organized, adaptable, and able to manage multiple priorities while maintaining accuracy, professionalism, and confidentiality. As part of the Faculty of Graduate & Postdoctoral Studies, the Awards Assistant contributes to an inclusive, collaborative, and student-centred environment that advances the university's commitments to access, community, and belonging. Awards Events Management Coordinate Killam events, including the Annual Meeting, Connector Event, and other awards-related events, workshops, and information sessions. Schedule meetings, prepare agendas and materials, record meeting minutes, and support event logistics. Compile reports and recipient information and coordinate communications with internal partners. Track event timelines, budgets, and vendor relationships. Awards Competition Administration Coordinate the administration of graduate award competitions, including the Killam Scholarship and Postdoctoral Fellowship competitions. Compile and organize award applications in collaboration with the Awards team. Enter and maintain award information in university systems. Respond to student inquiries regarding awards, application processes, and payments. Administrative Support Manage and triage FreshService tickets and direct inquiries to the appropriate team members. Provide administrative support to the Awards team throughout the annual awards cycle. Coordinate communications with internal partners and provide exceptional customer service to students, faculty, and campus stakeholders. Prioritize competing deadlines while maintaining accuracy, confidentiality, and professionalism. Post-secondary diploma is required. 2-3 years of administrative experience in a postsecondary office environment. Excellent organizational skills with exceptional attention to detail and the ability to manage competing priorities. Strong written and verbal communication skills and a demonstrated ability to interact professionally with diverse stakeholders. Excellent customer service skills, sound judgment, and the ability to maintain confidentiality. The ability to work independently while contributing effectively as part of a collaborative team. Strong technical proficiency with Microsoft Office, Google Workspace, and experience using enterprise systems such as PeopleSoft or similar platforms. The flexibility and adaptability to thrive in a dynamic, fast-paced environment with changing priorities.
