About the Opportunity

Pennant is seeking a Benefits Billing Specialist to support the administration of employee benefit billing across Pennant’s multi-state organization. This position will be primarily responsible for direct bill processes, including employee communication, payment monitoring, account reconciliation, payroll coordination, and issue resolution. This position will also support employees transitioning from direct bill to COBRA by providing timely communication and making applicable coverage updates in Benefitsolver. The position will partner closely with Benefits, Leave of Absence, Payroll, HRIS, HR partners, and external vendors to provide accurate, timely, and employee-centered support.

The Benefits Billing Specialist will help maintain effective processes and controls, research discrepancies, support employees through billing and coverage questions, and identify opportunities to improve the efficiency and accuracy of benefits administration. The qualified individual reports to Pennant’s Director of Total Rewards and will support operations across the organization.

The position will be in-office at least 3 days a week.

Duties and Responsibilities

  • Passionately embrace and practice our core values in every interaction with employees, leaders, operational partners, and team members.
  • Administer direct bill processes for employees who owe benefit premiums outside of regular payroll deductions, including employees on leave and other eligible populations; communicate applicable transitions to COBRA and update coverage status in Benefitsolver.
  • Monitor premium payments, past-due balances, and coverage status; conduct timely follow-up and escalate unresolved issues in accordance with established procedures.
  • Reconcile direct bill payments against benefit enrollment and coverage records; research and resolve discrepancies.
  • Reconcile the Weekly and Bi-Weekly Payroll Changes file to determine the reason for each change; correct benefit import errors in Workday and notify Payroll once benefit changes are approved.
  • Reconcile the Payroll Actuals file from Workday against the Benefitsolver expected deductions file to determine whether retroactive adjustments should be loaded for future payroll cycles.
  • Reconcile monthly vendor invoices against Benefitsolver enrollment records, resolve discrepancies, and prepare approved invoices for payment by wire transfer or ACH in coordination with Accounting.
  • Respond to employee questions regarding benefit premiums, payment options, and the impact of leave or employment changes on benefit elections.
  • Partner with Payroll, Benefits, Leave of Absence, HRIS, HR partners, Finance, and external vendors to ensure accurate deductions, payments, enrollment updates, and coverage administration.
  • Maintain accurate documentation, case notes, audit records, standard operating procedures, and employee communications.
  • Support benefit billing audits, reporting, and related internal controls.
  • Identify recurring issues and recommend process, system, and communication improvements that strengthen accuracy, timeliness, and the employee experience.
  • Provide benefits administration support during annual enrollment, acquisitions, system implementations, and other periods of increased activity or business need; provide additional support to the Leave of Absence team during high-volume periods, including taking on leave administration work as needed.
  • Serve as a knowledgeable resource who understands the unique needs of Pennant’s home health, hospice, home care, and senior living operations.

The above statements are only meant to be a representative summary of the major duties and responsibilities performed by incumbents of this job.  The incumbents may be requested to perform job-related tasks other than those stated in this description.
