Overview

The Benefits & Leave Coordinator supports the day-to-day administration of employee leave and benefits programs, with a primary focus on leave administration and return-to-work coordination. This role serves as a key point of contact for team members throughout the leave process, providing guidance on leave procedures, required documentation, status updates, and return-to-work requirements.

The Benefits & Leave Coordinator maintains accurate leave records, coordinates with team members, managers, internal partners, and external vendors, and supports compliance with applicable leave requirements and company policies. The role also provides administrative support for employee benefit programs and assists with benefits inquiries, onboarding, documentation, and employee communications.

Responsibilities

  • Coordinate the day-to-day administration of employee leaves of absence, including FMLA, state and local leaves, disability-related leaves, parental leave, personal leave, and other applicable company leave programs.
  • Serve as a primary point of contact for team members throughout the leave process, providing information regarding leave procedures, documentation requirements, status, and next steps.
  • Track leave requests, certifications, approvals, extensions, expected return dates, and other required documentation to maintain accurate and timely leave records.
  • Coordinate return-to-work activities, including confirming return dates, obtaining required documentation, communicating with appropriate internal partners, and supporting a smooth transition back to work.
  • Partner with team members, managers, People Experience, Payroll, and external leave or disability vendors to resolve routine leave-related questions and administrative issues.
  • Maintain accurate leave and benefits information within applicable HR systems and internal tracking tools.
  • Support compliance with federal, state, and local leave requirements and company policies by maintaining required documentation, records, and notices.
  • Assist with day-to-day benefits administration for medical, dental, vision, life, disability, and voluntary benefit programs.
  • Respond to routine employee benefits questions and assist with resolving enrollment, eligibility, and coverage issues in coordination with benefits vendors and internal partners.
  • Support benefits onboarding for new hires and help ensure employees receive accurate and timely benefits information.
  • Assist with benefits and leave-related audits, reporting, reconciliation, and data validation as needed.
  • Update and maintain benefits and leave resources, FAQs, forms, and educational materials on internal platforms such as SharePoint.
  • Support employee communications related to benefits, leaves of absence, and return-to-work processes.
  • Maintain confidentiality and appropriately handle sensitive employee and benefits information.
  • Collaborate with other People Experience teams to provide a consistent and supportive employee experience.

Qualifications

Education/Experience:

  • High school diploma required; bachelor’s degree preferred.
  • 1 years of experience in leave administration, benefits administration, human resources, or a related area.
  • Experience supporting employee leaves of absence and/or return-to-work processes preferred.
  • Familiarity with federal and state leave requirements, including FMLA, and disability and leave administration practices preferred.
  • Experience working with HRIS, benefits, or leave administration systems preferred.
  • Excellent written and verbal communication skills
  • Strong organizational skills and ability to manage multiple priorities

Required Skills/Abilities:

  • Working knowledge of leave administration processes and the ability to understand and apply established leave policies and procedures.
  • Familiarity with employee benefit programs, including medical, dental, vision, life, and disability benefits.
  • Strong organizational and follow-up skills with the ability to track multiple employee leave cases, deadlines, documentation requirements, and return-to-work dates simultaneously.
  • High level of attention to detail and accuracy when maintaining employee records and processing benefits and leave information.
  • Strong written and verbal communication skills with the ability to clearly explain processes, requirements, and next steps to team members and managers.
  • Strong interpersonal and customer-service skills, particularly when supporting employees through sensitive or complex situations.
  • Ability to identify routine issues, research information, and escalate complex leave, benefits, or compliance matters when appropriate.
  • Demonstrated ability to maintain confidentiality and appropriately handle sensitive employee and medical information.
  • Ability to collaborate effectively with employees, managers, internal partners, and external vendors.
  • Proficiency with Microsoft Office, including Excel, Outlook, and Word; experience with HRIS and benefits administration systems preferred.

Compensation Information

Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for each position across the US. Within the range, individual pay is determined by work location, job-related skills, experience, and relevant education or training. This good faith pay range is provided in compliance with NYC law and the laws of other jurisdictions that may require a salary range in job postings. The salary for this position is $57,000 to $65,500 ($27.50 to $31.50/hour).
