The Role:
We’re looking for a Bid Coordinator who brings discipline, pace and quality to every pursuit - someone who owns the process as much as the paperwork.
You’ll be the operational backbone of our Sales-to-Delivery handshake, running the rhythm of each pursuit from qualify through to signature. That’s more than keeping a bid on schedule. It means marshalling the right experts, owning our proposal and collateral library, and making sure every proposal reaches the pursuit gate on time, complete and to Sensei’s standard.
Key responsibilities
- Build and maintain a working pursuit plan for every opportunity including milestones, owners, internal review points, client facing deadlines etc.
- Use your delegated authority to hold contributors (Sales leads, SMEs and Delivery Managers alike) to deadlines and quality checks.
- Coordinate the Qualify Gate (bid/no-bid) and the Pursuit Gates and keep a single source of truth for Sales, Delivery and Finance.
- Own, curate and govern Sensei’s complete sales collateral set including proposal templates, case studies, capability statements, pricing patterns and packaged offers.
- Partner with Marketing to drive adoption of approved collateral and monitor usage.
- Coordinate the writing, editing, formatting and final production of proposals.
- Keep the pipeline clean – hold the sales team to agreed CRM and qualification-discipline standards and supply reliable pipeline data.
- Coordinate win/loss reviews after every material pursuit, feeding the insights back into the appropriate channels.
Sound interesting? Here’s the key skills set you’ll need to qualify:
- 3+ years’ experience in bid coordination, proposal management, sales operations or project coordination ideally in B2B professional services or technology consulting.
- A track record of running multiple concurrent pursuits to deadline, with disciplined version control and QA.
- The ability to hold stakeholders to process and standards through influence and delegated authority.
- Experience owning or governing a content or collateral library and driving its adoption across a team.
- Attention to detail with excellent written, editing and communication skills – meaning you can edit and structure technical content for executive readers.
- Strong organisational skills with a bias for action, follow-up and unblocking others.
- Hands-on familiarity with Microsoft Copilot, AI-assisted drafting or low-code automation in a sales or proposal context is highly regarded.
- Experience with CRM tooling (Dynamics, HubSpot or Salesforce) and document-management systems.
- Exposure to managed services, transformation or digital advisory propositions is a plus.
