Arthur Cox LLP is one of Ireland’s leading law firms. We are an “all-island” firm with offices in Dublin and Belfast. We also have offices in London, New York, and San Francisco. Our practice encompasses all aspects of corporate and business law.

With 600 legal staff and a total headcount of nearly 900, we provide a comprehensive service to an international client base ranging from multinational organisations, banks, and financial institutions and established global leaders to government agencies and new players in emerging industry sectors.

Our story has been defined by our progressive outlook. For over 100 years, we have led the way in the legal field in Ireland. For our clients, we work to deliver the best service and support. With an independent, entrepreneurial spirit of innovation leading the way.

Background to the role:

You will join our centralised Bids Team and help prepare focused, compelling pitches, tenders and proposals for new and existing clients across the firm. Working with colleagues in the team and with partners, lawyers and business services specialists, you will support opportunities from initial instruction through to final submission.

Location: Dublin Ireland
Working model: Hybrid, Permanent
Department: Business Development & Marketing
Reports to: Head of New Business

Overview of the role / About the role:

This role is designed for an early-career bids professional who is ready to take on greater responsibility. It may suit someone with experience as a Bids Assistant, Bid Writer, Proposals Assistant or Coordinator or similar, who would like to develop their bid drafting and project coordination skills in a supportive professional services environment.

You will initially take ownership of straightforward proposals and defined workstreams, with guidance and review from more experienced team members. As your knowledge and confidence develop, you will have the opportunity to manage more complex opportunities and contribute to major panel tenders and strategic pitches.

This is a hands-on role within an established team, offering structured exposure to the full bid lifecycle. Training and support will be provided. You will receive coaching and feedback as you build your drafting, coordination and stakeholder-management skills, with scope to take on broader and more complex work overtime.

Key Responsibilities

  • Support and, where appropriate, coordinate pitches, proposals and tenders from kick-off through to submission, ensuring requirements and deadlines are clearly understood and met.
  • Draft and edit clear, persuasive and tailored content using approved firm materials, relevant credentials and input from subject-matter specialists.
  • Work with partners, lawyers and business services colleagues to gather information, follow up on actions and keep submissions progressing.
  • Take ownership of straightforward proposals, capability statements and other defined bid workstreams, with appropriate guidance and review.
  • Contribute to larger or more complex panel tenders and strategic pitches, including drafting sections, coordinating inputs and supporting submission logistics.
  • Help identify the firm's relevant experience, strengths and points of differentiation for each opportunity rather than relying on generic content.
  • Proofread, format and quality-check documents and presentations to ensure they are accurate, consistent, visually professional and compliant with submission instructions.
  • Use the firm's bid drafting technology, content library and Microsoft 365 tools effectively, applying sound judgement and checking all outputs carefully.
  • Monitor relevant tender notifications and assist with portal registrations, clarifications and uploads.
  • Maintain accurate records in the internal tender tracker and support reporting on opportunities and outcomes.
  • Help maintain and improve reusable bid content, credentials, CVs and supporting materials so that information remains current and easy to access.
  • Provide practical administrative and document-production support across the Bids Team, particularly during busy periods and major submissions.
  • Support legal directory and credentials activities where required.
  • Contribute ideas to improve bid processes, templates, technology use and the quality and efficiency of the team's service.

Skills, Knowledge and Expertise

  • 1-2 years relevant experience in bids, proposals, tender coordination or a comparable writing and coordination role. Applications are also welcome from candidates with strong transferable experience who are ready to step up from an assistant or junior coordinator position.
  • Outstanding written and verbal communication skills in the English language, with the ability to structure information clearly, edit carefully and adapt content for different audiences.
  • Excellent attention to detail and a commitment to producing accurate, high-quality work.
  • Good organisation and time management, with the ability to manage several tasks, meet deadlines and raise issues early.
  • Ability to build constructive working relationships and follow up with busy stakeholders in a professional manner.
  • A collaborative and flexible approach, combined with the initiative to progress clearly defined tasks independently.
  • Good working knowledge of Microsoft Word and PowerPoint, and confidence learning new systems and technology.
  • Curiosity, sound judgement and a willingness to learn about the firm, its clients, sectors and services.
Desirable but not essential:
  • Experience with formal tenders and the procurement process.
  • Exposure to general business development.
  • Experience in a law firm, accountancy firm, consultancy or other professional services environment.
  • Experience using SharePoint, bid management or content management systems, or AI-assisted drafting tools.

We welcome applications from candidates who may not meet every preferred criterion but can demonstrate strong writing, organisation, attention to detail and the potential to grow into the role.

Benefits

  • Competitive salary
  • Discretionary bonuses
  • 25 days annual leave
  • Leading hybrid working policy
  • Immediate pension scheme
  • Wide-ranging opportunities for involvement in internal committees
  • Comprehensive health and wellness benefits including full gym and wellness programmes
