Role Overview
At Job Duck, we are looking for a compassionate and highly organized Bilingual Client Relations and Intake Coordinator who is passionate about helping individuals navigate important moments in their lives. In this role, you will serve as the first point of contact for potential and existing clients, ensuring they receive prompt, professional, and empathetic support. You will play a vital role in gathering critical information, coordinating consultations, maintaining accurate records, and helping clients feel informed throughout the process. The ideal candidate is a strong communicator who thrives in a fast paced environment, values meaningful client relationships, and is committed to delivering exceptional service with empathy and professionalism.
Schedule:
Monday to Friday from 8:30 AM - 5:30 PM [CST][CDT] (United States of America)
Your Responsibilities Will Include but Are Not Limited To:
- Scheduling consultations, appointments, and meetings.
- Following up with potential clients regarding case eligibility and next steps.
- Documenting and organizing intake information for attorney review.
- Assisting with administrative and operational tasks that support the intake process.
- Ensuring all records, notes, and communications remain accurate and up to date.
- Coordinating communication between clients and the legal team.
- Providing exceptional customer service throughout the client journey.
- Communicating with existing clients regarding case updates and general inquiries.
- Generating and sending proposals, agreements, and related documents as needed.
- Managing and maintaining client information within the CRM.
- Tracking follow-ups and maintaining consistent communication with leads and clients.
- Serving as the primary point of contact for prospective clients during the intake process.
- Sending payment links and collecting consultation fees.
- Conducting initial immigration intakes and gathering detailed client information.
- Answering and managing urgent inbound calls from prospective clients.
What We’re Looking For:
- Fluent English and Spanish language proficiency required.
- Experience working in or supporting the immigration law field preferred, but not required.
- Strong customer service experience required.
- Experience handling sensitive, urgent, or emotionally charged client situations is highly preferred.
- Ability to communicate with empathy, professionalism, and discretion during high-stress situations.
- Strong organizational, time management, and follow-up skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- Ability to work independently while collaborating effectively with attorneys and legal team members.
- Experience scheduling appointments, consultations, and meetings.
- Experience maintaining client records and working within CRM systems.
- Ability to collect, document, and organize detailed client information accurately.
- Strong written and verbal communication skills.
- Ability to handle confidential and sensitive information in accordance with firm policies and procedures.
- Availability to work within a fast-paced, client-focused environment.
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
