Position: Bilingual Immigration Client Intake Coordinator Practice Area: Immigration Law Schedule: Part-Time / Appointment-Based Location: Remote Languages: English & Spanish Position Overview An immigration law firm is seeking a bilingual Client Intake to support prospective clients before their initial consultation with an attorney. The primary purpose of this role is to help clients arrive at their attorney consultations prepared, organized, and with the necessary information and documents available . The Client Intake will meet virtually with clients after their attorney consultation has been scheduled but before the consultation takes place. During approximately 30-minute appointments, the coordinator will guide clients through the firm's intake process, gather relevant information, identify missing documentation, and explain what clients should provide before meeting with the attorney. This is a client-facing position that requires excellent communication skills, patience, empathy, organization, and familiarity with immigration law and terminology. This position does not provide legal advice . Key Responsibilities Conduct approximately 30-minute virtual pre-consultation appointments with prospective clients. Guide clients through the firm's established intake questionnaire and procedures. Gather relevant background information regarding the client's immigration history. Confirm that clients provide important identifying and case-related information, such as A-Numbers, previous immigration filings, notices, relevant dates and deadlines, when applicable. Identify missing information or documentation before the attorney consultation. Clearly explain which documents or information clients should submit before their scheduled consultation. Follow up with clients regarding outstanding documents or information when necessary. Upload, organize, or appropriately route client documents and intake information according to firm procedures. Ensure that intake information is complete and organized for the attorney's review. Communicate professionally with clients who may be unfamiliar with the U.S. immigration system or experiencing stressful circumstances. Help clients understand the firm's consultation process and what to expect during their upcoming appointment. Escalate substantive legal questions to the attorney rather than providing legal advice. Coordinate with attorneys and firm staff regarding consultation preparation when needed. Ideal Candidate The ideal candidate is someone who genuinely enjoys working with clients and is particularly good at explaining processes in a clear, patient, and reassuring way . We are looking for someone who is: Fully bilingual in English and Spanish . Experienced or knowledgeable in U.S. immigration law or immigration legal services is a plus . Comfortable communicating directly with immigration clients. Patient, empathetic, approachable, and professional. An excellent listener who knows how to ask follow-up questions. Able to explain instructions and procedures clearly to clients with different levels of familiarity with the immigration process. Highly organized and attentive to details. Comfortable reviewing intake forms and identifying missing information. Reliable with scheduled client appointments. Able to recognize the difference between providing procedural information and providing legal advice. Comfortable working independently in a remote environment. Schedule & Availability This is not a traditional full-time position or a position with fixed daily hours . Work will be based primarily on scheduled client consultations. Each client appointment is expected to last approximately 45 minutes . The volume of appointments may vary from month to month. As an example, the firm may have approximately 20–25 consultations per month , representing roughly 10–13 hours of client meetings, plus any necessary preparation or follow-up. Because prospective clients may have limited availability during traditional business hours, the ideal candidate will have a flexible schedule and be open to accepting some appointments: During regular business hours In the evenings On weekends Availability may vary depending on the firm's consultation calendar. Preferred Experience Previous experience with a U.S. immigration law firm is strongly preferred. Previous immigration intake, legal assistant, client services, or case support experience is a plus. Familiarity with common U.S. immigration documents, forms, notices, A-Numbers, filing histories, and immigration terminology. Experience communicating with Spanish-speaking immigration clients. Experience working remotely with a U.S.-based professional team is preferred. What Success Looks Like A successful Client Intake will help ensure that when a prospective client meets with an attorney: The intake form is substantially complete. Relevant immigration history and important dates have been gathered. Requested documents have been submitted whenever possible. Missing information has been identified. The attorney has better information available before the consultation. The client understands what to expect and feels prepared for the meeting. Ultimately, this role should help create a more organized and productive attorney consultation while providing prospective clients with a supportive experience from their first interactions with the firm.
