About the Role
Adolescent Wellness Academy (AWA) is hiring a Bilingual Virtual Intake Coordinator to support admissions, virtual group sessions, and daily program administration for our adolescent virtual mental health program.
You’ll help teens ages 13–17 and their caregivers navigate intake, organize paperwork and appointments, and provide live administrative and technical support during virtual groups. This non-clinical role works closely with admissions and clinical teams to keep care organized, accessible, and welcoming.

What You’ll Do
- Intake & Admissions Support: Guide English- and Spanish-speaking families through intake paperwork, required forms, scheduling, and program updates.
- Appointment Coordination: Schedule new admission appointments, psychiatric appointments, and IEP appointments; communicate next steps to families and staff.
- Virtual Group Support: Support Zoom sessions, monitor chat, help adolescents transition between activities, and troubleshoot access, audio, and video issues.
- Program Administration: Maintain accurate attendance, census, intake documents, schedules, and other program records.
- Family Communication: Respond to administrative questions, share reminders, and coordinate information across caregivers, admissions, and clinical teams.
- Documentation & Wellness Check-Ins: Complete same-day administrative documentation and assigned check-ins following program procedures.
- Safety Escalation: Promptly notify clinical staff of safety concerns, disclosures, or changes in client behavior.
What We’re Looking For
- Fluent English and Spanish, with the ability to communicate clearly with teens and caregivers in both languages.
- Experience in behavioral health, mental health administration, intake, patient services, education, youth services, or a related support role.
- Comfort working with adolescents ages 13–17 and supporting virtual group environments.
- Strong scheduling, data entry, recordkeeping, documentation, and follow-through skills.
- Confidence using Zoom, virtual meeting platforms, and digital administrative tools.
- A calm, approachable communication style and sound judgment about non-clinical boundaries and when to escalate concerns.
- Ability to work independently while staying responsive and connected to a remote team.
