Position Title: Blugold Central: Student Processing Specialist Job Category: University Staff Employment Type: Regular Job Profile: Student Processing Specialist Job Duties: Blugold Central is grounded in service excellence and student retention and is supportive of students’ educational goals and consistent with institutional policies and priorities. Blugold Central has both virtual and physical components and provides student-service functions encompassing Financial Aid, Student Financial Accounts (Bursar/Cashier), Parking, Registration & Records (Registrar), and Continuing Education. Under supervision of the Assistant Director of Enrollment Management, the Student Processing Specialist is responsible for the day-to-day activities and ensuring a culture of service excellence in walk-in, phone, and virtual environments. The Student Processing Specialist will be broadly trained to assist all students with academic records, financial aid, enrollment, billing and payments, parking and registration-related transactions. The Student Processing Specialist will work collaboratively with campus subject-matter experts, including but not limited to: financial aid counselors, academic representatives, dean of students’ staff, veteran’s coordinator, program managers, et al. SPECIFIC RESPONSIBLITIES: Ensure all actions are aligned with the University vision, mission, goals, and strategic plans. Provide superior customer service. Provide students with information, answer questions, facilitate transactions, and provide satisfactory problem resolution in a timely manner in regards to registration, enrollment, financial aid, student academic records, student financial account information, parking, continuing education programming, and other student-support resources. Create written procedures as training occurs and update as needed. Assist students with information/transactions related to the following: Student Financial Accounts Complete student financial transactions, including: Assist students with various questions regarding their accounts, including, but not limited to payments, holds, financial accounts, and refunds. Provide detailed information and resolve issues related to financial accounts, charges, payments, etc. Guide students, parents, and others through an on-line payment process. Process in-person student account payments and department deposits. Assist students with the direct deposit refund process. Open, balance, and close cashiering sessions. Financial Aid Provide general financial aid information in accordance with all applicable laws, regulations, and policies, including the following: Serve as the main point of contact for students with financial aid questions. Explain complex federal, state, and institutional financial aid regulations, procedures, deadlines, and processes. Direct students in completing the application process, needs determination, financial aid eligibility, disbursement, cost of attendance figures, status, financial aid forms, assessing choices between types of loans, and making informed choices between work study and loan options. Assist students with filing various forms including but not limited to scholarship forms, financial aid appeals and verification forms. Inform students on financial aid options and financial impacts based on registration changes. Student Academic Records Create, maintain, and explain academic records, including: Provide information about self-service transcript and enrollment verification requests. Assist students with self-service (convenience) eform options. Troubleshoot registration errors, system issues, and inquiries concerning registration. Inform and direct students to resources such as the use of CampS, Schedule Builder, and accessing the degree audit. Explain academic rules and policies. Provide options and alternatives as appropriate. Assist students with understanding their academic transcript. Explain holds placed on student accounts and provide assistance in removing those holds. Perform registration functions such as late add/drop approvals. Advise students on Family Education Rights and Privacy Act of 1974 (FERPA) regulations. Parking Provide parking-related services, including the following: Provide information on parking options, processes, regulations, and policies. Issue and accept payment for parking permits. Accept payments for parking tickets. Student Services Serve as a student-service resource for general University information including, but not limited, to the following: Provide appropriate referrals for campus resources. Provide general information on housing and meal plans. Serve as a resource for physical location inquiries. Assist students with accessing CampS, eforms, e-mail, D2L, and other student information systems. Assist students with navigating and accessing information on the University website. Key Job Responsibilities: Provides direction to students and prospective students on a variety of processes including application, registration, financial status, academic and recreational programs, and graduation and licensure requirements Tracks prospective and/or current student status on academic progress or related areas Applies knowledge of programs, procedures, and policies to provide administrative support and assistance in a student services function, escalating more complex decisions to other personnel Department: Blugold Central consists of over 50 staff members spanning the functional Student Services areas of: Financial Aid, Records and Registration, Bursar’s Office, Parking, and Continuing Education. Compensation: $20.00/hour Required Qualifications: Commitment to customer service excellence Excellent verbal and written communication skills Working effectively and collaboratively with diverse groups, individuals, and customers Organizational skills, including work prioritization, attention to detail, and effective problem-solving Flexibility in a variety of situations, including changes, and working under pressure The ability and willingness to learn new systems, software, and processes quickly Operational knowledge of MS Excel, Word, and Outlook Preferred Qualifications: Previous experience in a customer service environment, including in-person, electronic and/or over the telephone interactions.
