Position Description The Infant Hearing Program (IHP) provides Universal Newborn Hearing Screening, Audiology Services, Family Support Services, and Communication Development Services. The Infant Hearing Program (IHP) at Surrey Place is seeking a Booking Clerk who will report to the Manager, IHP. The successful candidate will be supporting the IHP, ensuring that clients’ needs for Universal Newborn Screening (UNHS) appointments are met through effective scheduling and co-ordination of client information, processing clinical reports requests from hospitals, physicians, school boards and other community agencies. Main Responsibilities Schedule and manage appointments and follow-up appointments using the booking system. Obtain informed consent from caregivers and ensure they fully understand the procedures involved in the appointments. Support cancellations and reschedule appointments as needed. Confirm appointments and provide necessary information to caregivers or clinical staff. Enter requested information and results into the booking system and provincial database, making updates and corrections as needed. Respond to inquiries from caregivers and clinical staff (i.e. provide results from UNHS). Coordinate with Surrey Place health records department to release client’s personal health information. Create and maintain accurate records in the electronic client record system, provincial database, and booking systems utilized by the programs. Qualifications Post secondary education and/or high school diploma, or Community College Diploma in Health Information Management. 1 year’s work experience within an Infant Hearing Program or Health Records Department is considered an asset. Experience working with Health Child Development-Integrated Services for Children Information System (HCD-ISCIS) and Customer Relationship Management (CRM) databases, as well as online booking systems are considered an asset. Excellent communication and interpersonal skills. Proven ability to handle multiple requests, prioritize tasks and requests. Excellent organizational, time management, clerical, and problem-solving skills, and attention to detail. Ability to work independently and within a team environment. A satisfactory Police Records Check (Vulnerable Sector Screening). Proficient with MS Office (Word, Excel, PowerPoint and Outlook). Fluency in French is considered an asset.
