Work Schedule: 8:00 AM-5:00 PM (AEST) | 05:00 AM-2:00 PM (PH Time)

We're looking for a detail-oriented and dependable Bookkeeper to support a growing Australian commercial construction business. In this role, you'll take ownership of the end-to-end bookkeeping function, ensuring financial records are accurate, reconciled, and maintained to a high standard.

You'll be responsible for managing accounts payable, payroll, bank reconciliations, job costing, and month-end processes, ensuring project costs are allocated correctly and financial data remains accurate and up to date. Working closely with external accountants, you'll deliver clean and reconciled monthly books that support compliance, reporting, and informed business decisions.

This role is ideal for someone who enjoys taking full ownership of the bookkeeping function, thrives on accuracy and organisation, and takes pride in maintaining strong financial processes. You'll play a key role in supporting the financial health of the business while working as part of a close-knit team that values accountability, efficiency, and continuous improvement.

What You’ll Do
You’ll be the kind of person who:

You'll manage a busy finance function supporting approximately 351 to 400 bank transactions, 126 to 150 supplier invoices, 126 to 150 job-costing entries, 11 to 20 customer invoices, and 7 weekly-paid employees each month.

Cash Coding and Bank Reconciliation
  • Code and reconcile all bank transactions in Xero on a weekly basis and complete full reconciliations each month.
  • Maintain accurate accounts receivable and accounts payable records to provide a clear view of the business's financial position.
Posting Purchase Invoices
  • Review, code, and publish supplier invoices from Dext into Xero.
Accounts Payable Management
  • Load all supplier invoices into the accounts payable ledger.
  • Reconcile supplier invoices against month-end statements.
  • Follow up suppliers to obtain missing invoices and supporting documentation.
  • Prepare the accounts payable ledger in due-date order for management review.
  • Upload batch payments into online banking for approval when required, with no authority to approve or release payments.
Accounts Receivable Management
  • Raise customer invoices from the construction management system based on approved project costs and margins.
  • Monitor aged receivables and issue payment reminders to customers as required.
Project Management Administration (Job Costing)
  • Code supplier invoices to the correct job and cost code categories, ensuring alignment with purchase orders.
  • Allocate labour costs, including superannuation expenses, to the appropriate jobs.
  • Enter and maintain financial information within the project management system.
  • Compare estimated project costs against actual costs and proactively flag projects tracking over budget.
End-of-Month Processing
  • Review and reconcile all balance sheet accounts each month.
  • Investigate and resolve discrepancies before month-end close.
  • Prepare and deliver accurate, reconciled monthly financial records to external accountants.
Payroll
  • Process weekly payroll and employee expense reimbursements through Xero.
  • Issue payslips and maintain accurate payroll records.
  • Monitor PAYG withholding and superannuation liabilities and report them to management.
  • Ensure annual leave and personal leave accruals are accurate and up to date.
  • Lodge Single Touch Payroll reporting with every pay run.
  • Complete annual payroll reconciliations and Single Touch Payroll finalisation for management review by 14 July.
Payday Super
  • Process employee superannuation contributions within 7 business days of each pay run.
Queries and Ad Hoc Support
  • Respond promptly to day-to-day finance enquiries from management, team members, suppliers, and external accountants.
  • Provide ad hoc bookkeeping and finance support as required.

Requirements

What You Bring
We’re looking for someone with:
  • Has a Bachelor's degree in Accounting, Finance, Bookkeeping, Business Administration, or a related discipline.
  • Has 3 or more years of end-to-end bookkeeping experience using Xero for Australian businesses, including month-end close processes.
  • Has experience managing Australian payroll in Xero, including weekly pay runs, leave accruals, Single Touch Payroll reporting, annual finalisation, and superannuation processing.
  • Has strong accounts payable experience, including supplier invoice processing and supplier statement reconciliations.
  • Has a working understanding of Australian GST and PAYG withholding requirements.
  • Has exceptional attention to detail and takes a structured, organised, and consistent approach to bookkeeping, ensuring no transactions are left uncoded or unreconciled.
  • Has excellent written English skills with the ability to communicate professionally with suppliers, accountants, and stakeholders.
  • Has the ability to work independently and take ownership of the bookkeeping function.
  • Xero Certification would be highly regarded.
  • Experience in construction or trades bookkeeping, including job costing and cost-plus-margin invoicing, would be highly regarded.
  • Experience using Dext would be highly regarded.
  • Experience working alongside an external accounting firm would be highly regarded.
