Arkansas Talent Group is exclusively partnering with Family Office who is looking for a highly organized, discreet, and self-directed Bookkeeper / Family Office Administrative Coordinator. This position will support the accounting, bookkeeping, real estate, entity management, and administrative needs of the family office and related business interests.

The ideal candidate is detail-oriented, dependable, comfortable managing competing priorities, and highly sensitive to confidential financial, legal, and personal information. This individual must be able to independently organize their workday, follow through on time-sensitive responsibilities, and communicate professionally with internal leadership, vendors, property managers, banks, and outside service providers.

This role is based in West Little Rock, with a hybrid schedule available after onboarding: three days in the office and two days remote and excellent benefits. The ideal candidate will have full-charge bookkeeping in QuickBooks, multi entity accounting, and office administrative experience.

Duties: 

  • Monitor bank accounts to confirm collections, deposits, and other expected activity.
  • Assist with sales and use tax filings and related recordkeeping.
  • Prepare and submit annual franchise tax reports.
  • Coordinate commercial vehicle assessments and personal-property tax payments.
  • Assist with year-end vendor 1099 preparation, including gathering and maintaining supporting documentation.
  • Support new entity formation and registration activities, including researching business-name availability, filing through the Arkansas Secretary of State website, and applying for EINs.
  • Coordinate vendor payments for a small commercial building and office suite, including cleaning, maintenance, and other recurring services.
  • Track routine building-related expenses and monitor upcoming cash needs for the managed commercial property.
  • Schedule and document routine building services, including cleaning, repairs, pest control, backflow testing, and similar maintenance requirements.
  • Complete bank deposit runs and other local banking-related tasks as needed.
  • Maintain organized electronic and physical files for business entities, tax filings, agreements, corporate records, and financial documentation. Sort, distribute, and process incoming mail; make post-office runs as necessary.
  • Order office supplies and maintain a professional, organized, well-stocked workspace. Provide general administrative support to leadership, the Senior Accountant, and other team members as needed.
  • Assist with special projects and evolving family-office needs while maintaining accuracy, professionalism, and confidentiality.

Qualifications:

  • Associate's or bachelor's degree in accounting, finance, business administration, or a related field preferred OR equivalent bookkeeping and administrative experience will be considered.
  • 3+ of relevant bookkeeping, accounting support, executive administrative, family-office, professional-services, or similar experience preferred.
  • Working knowledge of QuickBooks, including transaction entry, bank deposits, journal entries, and general bookkeeping functions.
  • Experience supporting multiple entities, real estate holdings, property-management activity, or closely held businesses is strongly preferred.
  • Familiarity with state tax filings, franchise tax reporting, sales and use tax, 1099 preparation, and entity registration is a plus.
  • Proficiency with Microsoft Office, particularly Outlook, Excel, Word, and digital file-management systems.
  • Ability to handle highly confidential financial, legal, personal, and business information with sound judgment and discretion. Strong organizational, time-management, and follow-through skills, with the ability to prioritize independently. Detail-oriented approach with a high level of accuracy in financial records, documents, deadlines, and administrative work.
  • Professional communication skills and the ability to work effectively with executives, accounting personnel, property managers, vendors, banks, and external partners.
  • Must be comfortable in a role that combines accounting support, administrative coordination, entity maintenance, and occasional local errands.
