We currently have an exciting position available for a Branch Administrator , to be based at our branch in Johannesburg to be an integral part of the branch and to provide a full support function to the regional manager, consultants, and all other members of staff, together with all clients in order to ensure that the branch attains its targets. You are responsible for Inclusive of, but not limited to: Reception Assist with answering calls professionally and accurately within 3 rings All calls are screened and directed to the correct channel via MS Teams Detailed messages are taken when the relevant person is not available and distributed via WhatsApp Walk-in candidates and clients are professionally greeted and offered refreshments on arrival The relevant staff member is advised within 5 minutes of the visitor’s arrival Assist with courier collections and deliveries. Administrative duties Book all Branch Meetings or any other meetings for all divisions, including social functions or events. Management of staff birthday schedules Assist with client and matter files filing on a weekly basis Assist with tagging of client and matter files on a weekly basis Archiving of client and Matter files on a quarterly basis. Ordering of branch stationery Ordering of branch refreshments, groceries, and water collection on a weekly basis Manage the service/ cleaning providers for the office, plants, and office equipment Ensure the removal of office black backs on the allocated municipality collection day Managing all service providers, which includes quotes, invoicing, and service delivery Managing the laptop, 3G, and cellphone arrivals and returning property from consultants Updating the CMS and client reallocations for BDC’s and PM’s Assist with CMS queries Assist or participate in interviews and printing of case studies for candidates Ordering of all branch marketing material, i.e., Posters, business cards, etc. Archiving of Labour Law Matter files on a quarterly basis. Booking of flights and accommodation on the Travel IT system. Assist the BM with relevant administration when required Monthly printing of meter readings New Deal management Ensure that the new client is loaded on CMS and allocated to the correct consultant, and that client information is correct Prepare a welcome letter to new client Send out Labournet Operators agreement – new clients Loading of ad hoc clients on the CMS. Financial management Call all clients who are in arrears with one debit order or invoice Management of the suspension/cancellation lists that are sent out weekly (Friday) Ensure that the age analysis is managed as per the LabourNet Way – provide the BDC’s, PM's and RM with the age % on a monthly basis after the month end. Attend weekly meetings (1 per week) with the debtors’ department and RM Load Purchase Orders and/on LaserFiche Manage credit notes (wrong billings/ invoiced) from consultants Assist clients with invoices, statements, and queries on accounts Travel and Commission claims are reconciled for the monthly payroll input Consolidate the monthly payroll input with RM. Petty cash management Petty Cash/Business Development/Corporate Procurement Card are managed according to the following way: Manage expenses Manage cleaners payments Keep receipts and records Cash up at month end Petty Cash/Business Development/Corporate Procurement Card is reconciled and sent to H/O and RM Business Development Consultants All relevant documentation is timeously prepared for the BDM Reports, e.g., Consultants and Region details, and client details from CMS Assist the BDC’s with relevant administration when required Assist with bookings of appointments and confirmations for BDC Client Meetings Ensure the contact details and or any information on the CMS applicable to a client is correct and being updated as and when required. Training Administrative Duties Update Training Tracker Load purchase orders of payment to Service Providers on Laserfiche Collection of training material Monthly and Quarterly bulk emails to clients Ensure the correct contact details for the client email list. Assist the TM with relevant administration when required.
